Job Title: Building and Facilities Manager

Organization: Son of a Saint

Position Type: Full-Time

Primary Summary:

The Building and Facilities Manager is responsible for the general condition and maintenance of Son of a Saint’s Headquarters. This position coordinates repair work, including preventative maintenance, improvements and provides assistance with plumbing, electrical, mechanical, and all other relevant areas.

The Building and Facilities Manager manages building maintenance, contract management, security, camera system, office support services, and Health & Safety management. This position will also oversee asset management and storage of equipment and supplies.

The Building and Facilities Manager must be a good team player that is well organized and able to manage a wide and varied workload effectively. The individual must be available to deal with out-of-hours alarms or other problems at the Son of a Saint location. A willingness to work late and at weekends, at times at short notice, is essential.


Essential Duties and Responsibilities:

  • Must be on call to receive packages, ensure building security, and other tasks as needed after hours of operation.
  • Oversee the scheduling, setup, and tear down of external events taking place inside the Clubhouse.
  • Develop and maintain a Building and Facilities budget with COO/CFO.
  • Keep maintenance logs and report all work and budget (expenditures).
  • Ensure that the building is fully operational with all utilities functioning properly.
  • Schedule and supervise maintenance work and assist with checking installation and servicing building equipment.
  • Interacts with building occupants resolving day to day maintenance problems.
  • Gathers information and participates in the evaluation of vendors and awarding of service contracts.
  • Coordinates inspections to ensure compliance with codes and safety regulations.
  • Oversee custodial staff, manage the security of building, and supervise the upkeep of landscaping.
  • Develop preventative maintenance schedules and repair programs on all building infrastructures.
  • Maintain ongoing communication with contractors, external vendors and the SOAS team.
  • Assists with coordinating office equipment and supplies movement.
  • Responsible for the safe movement, storage and upkeep of Son of a Saint assets and inventories.
  • Report deficiencies and recommend areas for improvement to management.
  • Lock and shut all doors at the end of each day.
  • Ensure compliance with organizational Health & Safety policy, processes, and procedures in all operational activities, ensuring appropriate risk assessments are carried out and corrective actions documented and addressed.
  • Implements management policies in relation to team performance, including training and development.
  • Direct and manage any facilities emergencies (if any).
  • Perform other duties as may be required from time to time.

  • Candidate must be able to lift up to 50 pounds.
  • Ability to write by hand and use keyboard to perform general functions.

Requirements:

  • 2 or 4 year Degree and/or experience in related fields.
  • Must live within a 5-10 minute radius of the building to ensure the security of the building
  • Knowledge of operations and facilities management best practices.
  • Ability to handle multiple tasks simultaneously, maintain focus and adapt to a variety of challenges.
  • Must be resourceful, be able to problem solve and think critically.
  • Excellent organizational skills and is able to work independently with minimal supervision
  • Must be well organized, detailed and customer (internal and external) oriented self-starter.
  • Working knowledge of principles and practices of project management.
  • Strong procurement and negotiation skills.

Desirable:

  • Knowledge of OSHA and other environmental regulations
  • 5 years’ experience of working in a building/facilities management role.
