Description

SUMMARY:

Front Office Assistant greets visitors, in person or on the telephone, answering or referring inquiries. Directs visitors by maintaining employee and department directories; and giving instructions. Supports the office staff with administrative duties. Knowledge of customer service principles and practices. Verbal and written communication skills. Information management, attention to detail, organization, and thoroughness. Needs to be able to handle stress tolerance and be reliable.

DUTIES AND RESPONSIBILITIES:

  • Front desk phones, client interaction, overall office support.
  • Advanced Microsoft Office skills with the ability to become familiar with company-specific programs and software.
  • Assist in interviews, new hire orientation, and training staff members.
  • Arrange corporate events outside the workplace, such as golf tournaments, fundraising events, quarterly meetings, and staff appreciation events.
  • Event/Vendor marketing and sales.
  • Organization of Summer parties, company potlucks, Halloween luncheons, and company holiday parties.
  • Customer contact database.
  • Office ordering for Costco and other office supplies.
  • Arranging travel accommodations for out-of-town jobs.
  • Maintain an organized filing system of paper and electronic documents.
  • Generate memos, emails, and reports when appropriate.
  • Respond to questions and requests for information.
  • Creating and following up on preliminary information for newly awarded jobs every month.

Qualifications


Education and Experience

One-year certificate from college or technical school; or six to twelve months related experience and/or training; or equivalent combination of education and experience.

  • Customer service orientation and negotiation skills
  • High degree of accuracy and attention to detail

Physical Requirements
