Position Overview: Seeking individual with experience in oversight of 40/50 year recertification, concrete restoration, roofing, riser replacement and MEP projects, and Interior Renovations.
As an On-Site Project Manager, you will be responsible for managing a project from planning to finish, ensuring adherence to timelines, budgets, and quality standards. Your excellent organizational skills, attention to detail, and ability to work collaboratively with cross-functional teams will be essential for achieving project objectives.
Responsibilities Include, But Not Limited To
  • Ability to interact daily with residents, Boards and vendors.
  • Develop, track and report on financial oversite of projects.
  • Visit project sites and document (in writing and with photos) vendor progress.
  • Perform day-to-day project oversight/management for various projects.
  • Work with management to develop projects scope and review vendor schedules to ensure successful project execution.
  • Coordinate and manage logistics around scheduling of key project team meetings.
  • Responsible for ensuring that the project is staffed for success with the correct level of resources and required professionals.
  • Prepare regular communication updates and presentation materials for senior management and boards on all aspects of the project, including financial metrics, dashboards, timelines, accomplishments, key risks and issues.
  • Facilitate project governance to drive innovation, user adoption and maximize value for the association.
  • Project Planning : You would be responsible for planning projects related to property management, which could include renovations, maintenance, upgrades, or new property acquisitions. This involves defining project scope, objectives , timelines, and resources required .
  • Resource Management : You'll need to ensure that the necessary resources such as labor, materials, and equipment is available for each project. This will involve coordinating with contractors, vendors, and internal teams to ensure smooth project execution.
  • Budgeting and Cost Management : Managing project budgets is crucial. You'll need to develop project budgets, institute ongoing financial tracking , and ensure that projects are completed within budgetary constraints.
  • Risk Management : Identify potential risks that could impact project timelines, costs, or quality, and develop mitigation strategies to address them
  • Communication : Effective communication is key to successful project management. You'll need to communicate project goals, progress updates, and any issues or changes to stakeholders including clients, team members, and management.
  • Quality Control : Ensuring that projects meet quality standards is essential for maintaining customer satisfaction and protecting the company's reputation. You’ll need to establish quality control processes for vendors and conduct regular project visits to ensure that work meets specifications.
  • Documentation : Keeping thorough project documentation is important for tracking progress, documenting decisions, and addressing any disputes or issues that may arise. This includes maintaining records of contracts, permits, project costs, change orders, and other project-related documents. Prepare project close out documentation.
  • Client Relationship Management : Building and maintaining strong relationships with clients is crucial for repeat business and referrals. You'll need to understand their needs and expectations and ensure that projects are delivered to their satisfaction.
  • Team Leadership : Leading and motivating project teams is an important aspect of the role. You'll need to inspire teamwork, provide direction, and support team members to ensure that projects are completed successfully.
  • Continuous Improvement : Property management is a dynamic field, and there are always opportunities for improvement. You should continuously evaluate project processes and performance and identify areas where efficiency or effectiveness can be enhanced.
Qualifications
  • At least 3 years of program/project management experience, ITIL or PMP designation preferred.
  • Knowledge of Condo & HOA property management is required.
  • Strong communication skills both written and verbal.
  • Must be able to perform high-quality work with only remote supervision.
  • Proficient with MS PowerPoint, Excel, Word, Visio, MS Project, Project Skills and Procore
