PURPOSE: School administrative assistants should possess a bachelor’s degree, preferably in a related field. This could be waived with appropriate administrative experience in a professional work setting. They must be proficient with Microsoft Office Applications, with strongest skills in working with spreadsheets, word processing and databases. They must possess excellent communication, organizational and interpersonal skills as well as the ability to multi-task and meet deadlines, to think flexibly, to re-prioritize tasks as needed and to work as a team member and independently. 

Responsibilities include but not limited to the following:

The school administrative assistant shall carry out various duties and functions as assigned by the director of education. The administrative assistant will work to support the smooth running of the education program and to ensure that the administrative needs of the program are met, for both the regular school year and extended school year. Specific job duties will include:

  • Organizing field trip activities
  • Providing administrative support through filing, word processing, maintaining various school records, computer data entry and answering the phone
  • Distributing and collecting keys and IDs at beginning and end of school years/sessions
  • Liaison to staff with regard to trainings, track training sign in sheets
  • Tracking staff completion and signing of performance evaluations and orientation sheets
  • Coordinating keys and usage of vans for field trips
  • Assisting with school events including holiday sing along and color day; assisting with photos of events for posting on social media, website, etc.
  • Assisting with annual student school pictures
  • Assisting with completion and distribution of fire drill / emergency drill documentation
  • Supporting in the classroom if necessary

The school administrative assistant shall be responsible for duties, as may be further assigned by the director of education.

School administrative assistants should be able to sit for long periods of time, write extensively, use the telephone and computer for long periods of time, and be able to communicate with families and the children. School administrative assistants should be able to react quickly, bend, walk, lift and carry up to 25 pounds occasionally
