Position Summary

The Development Operations Manager is a crucial member of the YWCA USA Development team, responsible for strategically organizing and managing all aspects of the donor database within an organization-wide Raiser’s Edge and data ecosystem. This position is responsible for ensuring the functionality and integrity of donor and Institutional Advancement records, working closely with the Development, Operations, Finance, SIE (Programs), and other teams across the organization. The Development Operations Manager will report to the Vice President of Development and support development efforts by managing gift processing, finance, reporting, analysis, data entry, hygiene, and database operations. The ideal candidate will have 4-5 years direct experience working with Mailchimp, Asana, Excel and a donor database CRM in a nonprofit environment, preferably Raiser’s Edge, including gift processing, reports, and dashboards. 

 

Responsibilities

 

Development operations

·      Oversee development operations including moves management, donor portfolio management, Asana, Salesforce, Mailchimp, and other tools used by a busy Development department to ensure top-notch operations. Build new systems and improve upon existing ones.

·      Ensure operational excellence in managing the donor flow within the Development team. Streamline the process of donor engagement, from identification to cultivation and stewardship, maximizing the team’s effectiveness in donor interactions

·      Develop and maintain fundraising dashboards to track key performance metrics and progress towards development goals. Analyze fundraising data to identify trends, patterns, and opportunities for optimization, and present these findings to the team and leadership.

·      Conduct comprehensive research on potential and current major donors, including individuals, corporations, and foundations, to identify their giving capacity, philanthropic interests, and connection to Vital Voices’ mission.

·      Create concise and informative briefing notes for the CEO, CSO and other frontline fundraisers to inform and guide their interactions with prospects and donors. Summarize key information about prospects’ backgrounds, interests, giving history, and potential engagement and cultivation opportunities.

Data Management and Reporting 

·      Manage and process all donations, including pledges, gifts, and contributions received through various channels such as checks, credit cards, and wire transfers. Ensure that all documentation and backups are properly maintained for program-specific compliance. 

·      Maintain an electronic filing system for gifts and pledges. 

·      Generate accurate and timely reports on revenue, pledges, and grants, and produce the annual donor listing for the organization's annual report. 

·      Provide reports, dashboards, and data exports as required to support fundraising and marketing activities. 

·      Work with the Development Director, IT Team leaders, and other stakeholders to improve reports/dashboards and expand the use of data. 

·      Create and run required imports of mass data sets and automate data transfers through Raiser's Edge integrations. 

·      Maintain and enhance the data structure required for the Development Team and perform data enrichment and regular data integrity auditing. 

·      Apply creative thinking and strategic planning to all database processes and policies. 


Donor Relations 

·      Generate and send acknowledgement letters for all donations received in a timely and appropriate manner. 

·      Manage mailing lists, review suppressed contacts, and create contact segmentation. 

·      Maintain an internal training and policy guide to ensure ongoing data accuracy. 

·      Provide ongoing training for staff members across the organization on key Development database functions. 

·      Serve as the primary contact for online donation software and other Development-specific technology vendors. 

·      Represent and serve as a liaison for the Development team with appropriate cross-functional Operations internal working groups. 

 

Experience, Education, Proficiencies, and Values

●       Experience, Education, and Certifications

○  Bachelor's degree in computer science, information technology, nonprofit management, or business administration is also an advantage. 

○  In recognition that formal education is not always financially accessible, we value and acknowledge relevant experience as a substitute for traditional qualifications.

○  Minimum of 5 years of direct experience working with a donor database CRM in a nonprofit environment, preferably Raiser’s Edge, with expertise in gift processing, reports, and dashboards.

○  Strong understanding of fundraising best practices and development operations.

○  Knowledge of accounting principles as they relate to fundraising practices.

●       YWCA USA is a hybrid of physical and remote office environments; you will collaborate with colleagues who are based across the United States. You should be prepared to work remotely and travel to the organization’s headquarters in Washington, DC.

●       Travel for meetings, events, or site visits is required.

●       Availability to work Monday through Friday and occasionally on nights and weekends as needed.

●       The role requires long periods of sitting and using a computer and some light physical tasks, such as printing, filing, etc.
