This role is responsible for ensuring that workflows are organized, deadlines are met, and information is properly documented and communicated. You will coordinate internal processes, streamline administrative tasks, and maintain accurate records so that leadership and recruiting teams can stay focused on delivery and growth.
This position requires strong organizational discipline, clear communication, and consistent follow-through. The right candidate will create predictability in day-to-day operations, reduce risk from missed details, and provide the operational oversight necessary for a growing professional services organization.

Key Responsibilities
Operational Structure
- Create and maintain SOPs, checklists, and internal process documentation
- Track deadlines for vendor relationships, contracts, licenses, compliance, and renewals
- Keep Asana structured: assigning tasks, tracking progress, and reporting status
- Align daily priorities with leadership and ensure follow-through across teams
- Act as the operational "control tower" by surfacing risks early, escalating when needed
- Keep Slack clean and informative: updates, reminders, and nudges to drive accountability
- Ensure the team always knows the plan: what we're doing, why, and by when
- Support onboarding/offboarding through systems access, forms, and internal setup
- Support payroll by confirming hours/PTO and ensuring accurate information is provided
- Ensure invoicing tasks are initiated on schedule and details are captured correctly
- Work with our bookkeeper for reconciliations and monthly close support
- Spot inefficiencies and resolve them before they become bottlenecks
- Recommend tools and improvements grounded in practicality and ROI
- Measure the impact of operational changes so we continue scaling efficiently
Required:
- 5 years in operations within professional services, consulting, or recruiting environment
- Experience managing HR compliance processes (multi-state preferred)
- Track record of building structure: SOPs, checklists, timelines, reporting
- Strong communicator who keeps teams aligned without micromanaging
- Process-driven, steady executor - people trust you to keep things moving
- Calm presence under pressure and a mindset of ownership over your domain
- Exposure to federal contracting operations or SBA compliance (HUBZone/EDWOSB)
- Familiarity with KPI tracking and operational reporting
- Project management certification (PMP, CAPM, etc.)
- Experience with tools such as Ceipal (ATS), Asana, Google Workspace, Excel/Sheets, Harvest or Forecast, and QuickBooks Time
- Salary Range: $90,000 to $100,000.
