Job Summary
We are seeking two highly skilled contractors to serve as the strategic execution layer of a high-performing webinar engine. Reporting to the Senior Manager, Webinar Strategy & Experiences, these roles are responsible for ensuring webinars are planned, promoted, produced, launched, measured, and optimized with discipline and consistency. This is not a basic webinar coordination role — these contractors will own the executional infrastructure that brings webinar strategy to life across a diverse portfolio of formats, including strategic series, thought leadership programs, customer webinars, product-led webinars, demo experiences, and campaign-driven programs. Working across platforms including Goldcast, Zoom, Marketo, and Salesforce, they will ensure webinars are built accurately, promoted effectively, delivered seamlessly, and measured consistently. The ideal candidates bring strong webinar production experience, marketing campaign execution discipline, technical platform fluency, reporting orientation, live-event composure, and an uncompromising commitment to audience experience.
Responsibilities
Own end-to-end execution for assigned webinars, including planning, workback schedules, platform setup, stakeholder coordination, promotion readiness, speaker preparation, rehearsals, live production, post-event workflows, and reporting support
Translate webinar strategy, audience goals, content plans, and campaign priorities into clear production timelines, project plans, run-of-show documents, QA checklists, and launch plans
Manage production milestones, dependencies, deliverables, approvals, and stakeholder readiness across Marketing, Product Marketing, Solution Marketing, Field Marketing, Sales, Marketing Operations, Brand, Legal, and external partners
Partner with campaign stakeholders to ensure webinars have a clear promotion plan, registration path, audience targeting approach, and launch timeline
Coordinate with Marketing Operations, Demand Generation, and Field Marketing to support promotional readiness across email, landing pages, registration workflows, reminder communications, and related campaign touchpoints
Monitor registration progress and surface risks, gaps, or optimization opportunities ahead of live webinars
Build, configure, and QA webinar events in platforms such as Goldcast, Zoom, and other webinar systems
Partner with Marketing Operations to support Marketo program setup, registration workflows, reminder emails, attendee and no-show logic, campaign tracking, and post-event follow-up workflows
Support accurate data flow into Salesforce or related CRM systems, including campaign attribution, member status progression, engagement signals, and reporting inputs
Configure and test registration pages, branding, speaker settings, engagement features, polls, Q&A, chat, resource modules, captions, recordings, replay pages, and other audience-facing elements
Lead speaker preparation and technical rehearsals with executives, customers, subject matter experts, Product Managers, Sales Engineers, Solution Consultants, moderators, and internal presenters
Manage live webinar execution, including greenroom coordination, speaker cues, slide progression, screen sharing, polls, Q&A, chat, audience widgets, CTA moments, resource launches, and real-time troubleshooting
Remain calm and structured during live-event issues, making quick decisions to protect the audience experience and keep events on track
Support live demos, product-led webinars, solution showcases, and other technical webinar formats, partnering with Sales Consulting, Product Marketing, and demo owners to validate demo flow, technical readiness, and contingency plans
Manage post-event workflows, including recording delivery, replay setup, captions, transcripts, attendee and no-show follow-up readiness, and asset handoff
Report on key webinar performance indicators, including registration, attendance, attendance rate, watch time, engagement, poll responses, Q&A themes, CTA clicks, resource engagement, replay performance, and follow-up readiness
Help identify high-intent engagement signals, including hand-raisers, product questions, demo interest, account engagement, and audience segments requiring follow-up
Create, maintain, and improve webinar playbooks, production templates, QA checklists, run-of-show documents, speaker guides, escalation paths, workback schedules, and post-event reporting processes
Use AI-enabled tools where appropriate to summarize Q&A, extract audience themes, draft post-event recaps, support content repurposing, and improve reporting efficiency
Partner with the Senior Manager to test and operationalize new webinar workflows, platform capabilities, AI-supported processes, and reporting improvements
Skills
Strong understanding of end-to-end webinar execution, including project planning, workback schedules, platform setup, QA, technical rehearsals, live-event execution, recordings, captions, replays, and post-event workflows
Hands-on experience building and producing webinars in platforms such as Goldcast, Zoom, or similar systems
Proficiency with Marketo or similar marketing automation platforms to support registration, email workflows, attendee and no-show logic, and post-event follow-up
Experience with Salesforce or similar CRM systems to support campaign tracking, attribution, engagement reporting, and Sales handoff
Strong understanding of webinar promotion readiness, including registration pages, audience targeting inputs, promotional timelines, reminder communications, tracking links, and campaign handoffs
Strong reporting orientation with the ability to collect, organize, interpret, and communicate webinar performance data clearly
Experience supporting live demos, product-led webinars, Sales Engineer presentations, Solution Consultant sessions, or technical product environments
Strong project management skills with the ability to manage multiple webinars, timelines, stakeholders, dependencies, and deadlines simultaneously
Ability to guide speakers and stakeholders through production requirements, rehearsal expectations, technical readiness, and live-event execution
Calm, structured, and decisive under pressure, especially during live technical issues or last-minute changes
High attention to detail and a strong commitment to best-in-class, audience-first webinar experiences
Strong cross-functional communication skills with the ability to work across Marketing, Sales, Product, Operations, and external partner teams
Comfort using AI tools to improve production efficiency, summarize engagement data, support reporting, and streamline post-event workflows
Experience
4+ years of experience producing B2B webinars, virtual events, live digital events, product demos, customer programs, or online experiences
Experience producing executive webinars, customer webinars, thought leadership programs, product demos, workshops, solution showcases, or campaign-driven webinar programs (preferred)
Experience in enterprise SaaS, B2B technology, HR technology, finance technology, ERP, or another complex enterprise environment (preferred)
Experience partnering with Marketing Operations, SDR/BDR teams, Sales Consulting, Product Marketing, Solution Marketing, Field Marketing, and Sales (preferred)
Experience with Workfront or similar project management tools (preferred)
Qualifications
Demonstrated ability to build production templates, QA checklists, speaker guides, run-of-show documents, reporting templates, workback schedules, and repeatable webinar playbooks
Understanding of accessibility best practices, including captions, transcripts, readable slides, readable screen sharing, and inclusive audience experience (preferred)
