Role Overview
We are hiring a part-time Assistant, with the opportunity for full-time, permanent placement.
This role is one half air traffic controller (managing workflows, people, and priorities) and one half flight attendant (anticipating needs and removing operational drag that would otherwise slow or delay firm leadership).
Key Responsibilities
- Reduce operational drag: Anticipate needs, solve problems, keep non-core tasks off leadership’s desk.
- Marketing and business development support: Support with marketing, public relations, or business development.
- Matter coordination: Coordinate matters to ensure not just activity, but progress. Collect updates from professionals inside and outside the firm; follow up as needed. Brief leadership so client updates can be delivered promptly and accurately.
- Client interaction: Follow up on invoices and payments with professionalism. Serve as an additional point of contact for clients, ensuring premium, luxury service.
- Billing & administration: Ensure time is entered into the billing system, proofread pre-bills and invoices. Resolve issues with platforms or vendors.
Qualifications
- Meticulous attention to detail; exceptional organization and follow-through.
- Clear, concise writing; confident, professional communication with senior stakeholders and principals.
- Experience in a top-tier professional services environment or multinational is a plus and will receive special consideration (e.g., AmLaw 100, Big Four, MBB, embassies, family offices, global corporates, five-star hotels, corporate aviation).
- Comfort with hourly billing/time entry platforms.
- High discretion and exceptional judgment.
Location & Hours
- Miami or New York. Mostly remote; in-person as needed in the firm’s offices.
- Part-time hours with flexibility; occasional off-hours responsiveness when matters are time-sensitive.
