Role Overview
We are hiring a part-time Executive Assistant, Strategy and Operations, with the opportunity for full-time, permanent placement.
This role is one half air traffic controller—managing workflows, people, and priorities—and one half flight attendant—anticipating needs, supporting leadership, and protecting leadership’s time.
The right candidate will not only keep operations running smoothly but will also contribute ideas and identify opportunities to strengthen the firm’s business, relationships, and reach.
This is a role for someone who thinks proactively, brings informed perspective, and takes ownership of progress.
Key Responsibilities
- Support firm leadership: Anticipate needs, resolve problems, and keep non-core tasks off leadership’s desk.
- Marketing and business development support: Assist with business development activities, strategic communications, and marketing coordination.
- Matter coordination: Coordinate professionals inside and outside the firm, gather updates, and brief leadership so client updates can be delivered promptly and accurately.
- Billing and administration: Ensure time is entered into the billing system; proofread pre-bills and invoices; manage and resolve issues with platforms or vendors.
- Client interaction: Follow up on invoices and payments with professionalism; serve as an additional point of contact, ensuring premium client service.
Qualifications
- This position is for someone who understands or has an interest in international business and how the world works — someone who thinks strategically, acts proactively, and communicates effectively.
- Familiarity with global law firms, investigations firms, or related professional services.
- Exceptional organization, attention to detail, and follow-through.
- Clear, concise writing and confident communication with senior stakeholders.
- Comfort with hourly billing and time-entry platforms.
- High discretion and sound judgment.
- Experience in a top-tier professional services environment, multinational, or government entity with international responsibilities (e.g., AmLaw 100, Big Four, MBB, embassies, family offices, global corporates, five-star hotels, business aviation).
Location & Hours
- Washington, DC or New York
- Mostly remote; in-person as needed in the firm’s offices
- Part-time hours with flexibility; occasional off-hours responsiveness when matters are time-sensitive
