Key Responsibilities
- Greet and assist clients in person, by phone, and by email in a professional manner
- Answer incoming phone calls and respond to client questions or route them to the appropriate team member
- Schedule appointments and maintain calendars for tax professionals and administrative staff
- Assist with client intake, document collection, and follow-up requests
- Help organize tax documents, client files, forms, and office records
- Support tax professionals with administrative tasks related to tax preparation workflow
- Track missing client documents and assist with follow-up communication
- Process paperwork, forms, client records, and internal office documents accurately
- Maintain confidentiality of client financial, personal, and tax information
- Help manage office filing systems, digital records, and client communication logs
- Assist with scanning, uploading, copying, and organizing client documents
- Provide excellent client relations support during busy tax deadlines
- Handle client concerns professionally and escalate issues when appropriate
- Support office staff with special projects and daily administrative needs
- Perform general office duties as assigned
- Previous office, administrative, or customer service experience required
- Tax office, accounting office, legal office, or professional services experience preferred
- Strong verbal and written communication skills
- Professional appearance, attitude, and demeanor
- Excellent organization and multitasking abilities
- Strong attention to detail and accuracy
- Comfortable working with confidential client information
- Proficient with Microsoft Office, including Word, Excel, and Outlook
- Ability to learn office systems, client portals, tax workflow tools, and document management processes
- Reliable, punctual, team-oriented, and willing to learn
- Ability to remain calm, respectful, and professional during high-volume or stressful periods
- Experience answering phones in a professional office setting
- Experience scheduling appointments and managing calendars
- Familiarity with tax season workflow or client document collection
- Familiarity with tax forms and filing requirements for multiple entity types, including individual, corporation, S corporation, partnership, LLC, trust, estate, and nonprofit returns
- Ability to communicate clearly with clients about missing information or next steps
- Comfortable supporting tax professionals with administrative follow-up
- Strong customer-service mindset
