Job Title: Association Collections Association Collections Paralegal (Condominium & HOA)
Position Type: Full-Time
Overview
We are seeking a highly organized, proactive, and detail-oriented Paralegal to support our condominium and homeowners' association (HOA) collections and litigation practice. This role is ideal for someone who is comfortable managing high-volume files, communicating with multiple stakeholders, and handling both pre-suit collections and litigation support.
Key Responsibilities
Someone who is hardworking, dependable, and not afraid to take initiative, but also know when to ask questions and what ultimately must be approved by the attorney. The ideal candidate is detail-oriented, organized with a minimum of 2-5 of relevant law firm experience in community association law as well as a Bachelor's degree and/or Paralegal Certification and/or Association's degree in Paralegal Studies. Also, the idea candidate understand the Association collection process and has experience as an association collection paralegal including reviewing ledgers, reconciling accounts, preparing statutory collection letters handling all aspects of the collection process from setting up the file to closing the file and direct communication with clients.
Compensation

Key Responsibilities
- Review and analyze account ledgers for accuracy and completeness
- Prepare and send statutory pre-suit collection notices for condominium and HOA matters in compliance with the chapters 718, 720, 719 and Fair Debt and Collection Practices
- Communicate professionally with debtors, clients, and property management companies
- Reconcile account balances and ensure proper application of payments and final disbursements
- Manage and disburse files once accounts are brought current
- Assist with litigation matters, including association lien foreclosures and related actions
- Draft basic legal documents (forms provided), including:
- Foreclosure complaints
- Motions for default
- Final foreclosure judgments
- File pleadings and documents through the Florida Courts E-Filing Portal
- Schedule hearings using county-specific online systems in Miami-Dade, Broward, and Palm Beach counties
- Maintain organized case files and track deadlines across multiple matters
- Prior experience as a paralegal in association collections and association law, and preferably, real estate background
- Familiarity with condominium and HOA collections and lien foreclosure processes
- Working knowledge of court procedures in Miami-Dade, Broward, and Palm Beach counties
- Experience with e-filing and online court scheduling systems
- Strong proficiency in Microsoft Word and Excel
- Impeccable with paralegal billing and keeping track of billable time
- Comfortable learning and using legal and collections software. Experience with Anva and/or Cosmolex software would be a great benefit but not necessary.
- Excellent organizational skills and attention to detail
- Strong written and verbal communication skills
- Ability to manage multiple priorities
- Experience handling high-volume association collections files
- Familiarity with litigation timelines and foreclosure procedures in Florida
- Ability to work both independently and as part of a team

Salary : $60,000 - $65,000
