HVAC Estimating Manager

Position Summary

We are seeking an experienced HVAC Estimating Manager to lead and develop our commercial estimating department. This individual will oversee all estimating activities while collaborating with sales, operations, and project management teams to deliver accurate, competitive, and profitable bids. The ideal candidate is a self-motivated leader with strong commercial HVAC estimating expertise, excellent relationship-building skills, and a proven ability to manage multiple projects in a fast-paced environment.

Key Responsibilities

• Lead, mentor, and manage the estimating team, ensuring timely completion of accurate and competitive bids.
• Collaborate with sales and business development teams to evaluate, prioritize, and manage bid opportunities.
• Prepare detailed estimates for commercial HVAC and mechanical construction projects, including Plan & Spec, Design-Build, Retrofit, Budget Pricing, and Change Order projects.
• Review blueprints, specifications, drawings, and contract documents to accurately define project scope and requirements.
• Analyze labor, material, equipment, subcontractor, and scheduling costs to develop comprehensive project estimates.
• Prepare professional proposals and pricing packages that align with customer requirements and project objectives.
• Survey and evaluate HVAC and mechanical systems for installation, replacement, repair, and retrofit opportunities.
• Coordinate with project management and field operations teams to ensure a seamless transition from estimating through project execution.
• Maintain accurate bid documentation, estimating records, and project files.
• Build and maintain strong relationships with customers, vendors, subcontractors, and internal teams.
• Resolve estimating discrepancies through detailed cost analysis and value engineering.
• Monitor market trends, labor costs, and material pricing to maintain competitive estimating practices.
• Utilize CRM and estimating software to track bid activity, customer interactions, and project opportunities.
• Continuously improve estimating processes, databases, labor units, and cost assemblies to enhance estimating accuracy and efficiency.
  
  

Required Qualifications

• Minimum 5 years of commercial HVAC or mechanical construction industry experience.
• Minimum 3 years of commercial HVAC estimating experience.
• Proven leadership experience managing estimating teams or departments.
• Strong understanding of commercial HVAC systems, mechanical construction methods, and estimating principles.
• Experience estimating Plan & Spec, Design-Build, Retrofit, Budget Pricing, and Change Order projects.
• Proficiency with Microsoft Office Suite (Excel, Word, Outlook).
• Experience using QuoteSoft or comparable HVAC estimating software.
• Strong analytical, organizational, and problem-solving skills.
• Excellent written, verbal, and interpersonal communication abilities.
• Ability to manage multiple projects simultaneously while meeting strict deadlines.
• Customer-focused mindset with strong negotiation and relationship-building skills.
• Self-motivated, detail-oriented, and capable of working independently.

• Service estimating experience.
• Project management experience.
• Experience with CRM software such as HubSpot.
• Knowledge of estimating database management, labor units, and cost tracking.
• Familiarity with value engineering and preconstruction planning.
  
  

Working Environment

• Fast-paced commercial construction environment.
• Ability to inspect mechanical systems, including accessing rooftops, mechanical rooms, and equipment areas when necessary.
• Must be comfortable working on multiple projects while maintaining a high level of accuracy and professionalism.
