Responsibilities
What Your Key Responsibilities Will Be
- Schedule Coordination: Manage the Principal Investigator’s (PI) calendar and coordinate meetings.
- Travel Arrangements: Organize the PI’s travel (flights, ground transportation, hotels, registrations, reimbursements); provide minimal support for lab members’ travel.
- Purchasing and Receipts: Coordinate purchases using a P-card, and submit receipts to the department’s finance team.
- Grant Reporting: Track timelines and due dates, and assist with grant reporting requirements.
- Website Maintenance: Update the lab’s website, specifically managing the lab members' page when people join or leave.
- Letters of Recommendation: Assist with formatting, proofreading, and submitting reference letters written by the PI.
- Professional Activity Logging: Track the PI’s professional activities throughout the year and submit reports to the university each January.
- Event Coordination: Organize logistics for annual lab and apiary cleanups.
- Visitor Logistics: Arrange travel, accommodations, and reimbursements for visiting collaborators or speakers.
- Community Building: Organize periodic lab gatherings and coordinate orders for lab swag (e.g., t-shirts).
- This 50% part-time position offers a primarily remote work modality with some in-person work and some flexibility for work hours.

What We Require
- Two years of relevant experience in administrative support or related work, or any combination of related education and/or experience related to the work assigned equal to two years.
- Ability to manage tasks efficiently and focus on details.
- Excellent written and verbal communication.
- Ability to handle sensitive information with confidentiality and discretion.
- Proficiency with basic office software (e.g., Google Workspace, Microsoft Office).
- Ability to manage multiple tasks and prioritize effectively.
- Bachelor's degree.
- Experience with academic or research administration.
- Familiarity with grant reporting and travel coordination.
- Basic website maintenance experience (e.g., Wix or similar platforms).
- Interest in science, academic or research environments.
