Ultimate Staffing is seeking an Executive Assistant to join a client in Fort Worth. This is a full-time, direct hire position. The role is 100% onsite.
This person will provide comprehensive executive and administrative support to the Plant Manager to ensure smooth daily operations, effective cross‑department communication, accurate documentation, and timely follow‑up on decisions and action items. This role requires strong organizational skills, discretion, and the ability to work independently in a fast‑paced plant environment.
Job Duties:
- Execute tasks and initiatives assigned by the Plant Manager, closely monitor progress, and regularly report on results and outcomes.
- Act as a key liaison across departments to facilitate communication, coordination, and integration of administrative and operational activities.
- Manage complex calendars and coordinate internal and external meetings for the Plant Manager.
- Prepare meeting agendas, take and distribute detailed meeting minutes, and track follow‑up actions to ensure timely completion.
- Handle document and data processing, including organizing, distributing, and tracking approval documents and their execution status.
- Maintain accurate records, files, and confidential information with a high level of professionalism and discretion.
- Work independently with strong attention to detail, accountability, and effective time management.
- Support additional projects and perform other duties as assigned by management.
Qualifications:
Education
- Bachelor's Degree or higher required.
Experience
- Minimum of 2 years of experience supporting senior leadership or a Plant Manager preferred.
Skills & Competencies
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Experience managing Outlook calendars and using video conferencing tools such as Microsoft Teams.
- Excellent organizational, multitasking, and time‑management skills.
- High attention to detail and ability to manage competing priorities.
- Strong interpersonal and cross‑functional collaboration skills.
- Proven ability to handle sensitive and confidential information with discretion.
Languages
- English required.
- Proficiency in Mandarin or Spanish is a plus, depending on business needs.

Salary : $65,000 - $75,000
