Job Overview:
The AP/AR Data Entry Clerk plays an important role in supporting the financial operations of U.S. Rentals, U.S. Sand & Gravel, Raitz Family Farms by accurately processing invoices, payments, and financial records. This position works closely with the accounting and administrative teams to ensure accounts payable and accounts receivable transactions are entered correctly and handled in a timely manner.

This role requires strong accuracy in data entry, the ability to manage multiple tasks efficiently, and a professional approach when communicating with vendors, customers, and internal team members. Key Responsibilities:
Accounts Payable
- Enter vendor invoices into the accounting system accurately and in a timely manner
- Verify invoice details including quantities, pricing, and approvals
- Match invoices with purchase orders and receiving documentation
- Assist with preparing invoices for payment processing
- Maintain organized vendor records and documentation
- Communicate with vendors to resolve invoice discrepancies or payment inquiries
Accounts Receivable
- Enter customer invoices and payments into the accounting system
- Apply payments to the correct accounts and invoices
- Maintain accurate customer account records
- Assist with monitoring outstanding receivables
- Support resolution of billing questions or discrepancies
Data Entry & Administrative Duties
- Perform high-volume data entry with strong attention to accuracy
- Maintain organized financial files and digital records
- Assist with monthly reporting and reconciliation preparation
- Support the accounting department with general administrative tasks
- Follow company accounting procedures and internal policies
Skills:
- Strong data entry accuracy and attention to detail
- Basic understanding of accounting practices and financial records
- Ability to manage multiple tasks while maintaining accuracy
- Strong communication and organizational skills
- Ability to maintain confidentiality with financial information
- Problem-solving skills to identify and resolve discrepancies
Technology Skills:
- Proficiency in Microsoft Office, particularly Excel
- Experience with accounting software or financial management systems preferred
- Comfortable entering and managing data in multiple digital systems
- Ability to use email and office technology for communication and documentation
Requirements & Daily Responsibilities:
- High school diploma or equivalent required
- Associate’s degree in Accounting, Business, or related field preferred
- Previous experience in accounts payable, accounts receivable, bookkeeping, or data entry preferred
- Successfully pass a background check and drug screening
- Maintain accurate financial data and documentation
- Communicate with vendors, customers, and internal team members as needed
- Stay organized and manage tasks efficiently in a fast-paced office environment
