This is not a typical Executive Assistant role. Our client is seeking a seasoned, strategically-minded professional to serve as the indispensable right hand to C-suite leadership within our high-growth, deal-intensive investment firm. You will anticipate needs before they arise, manage competing priorities with composure, and act as a trusted extension of the executive — protecting their time, reputation, and focus at every turn.
KEY RESPONSIBILITIES
- Serve as the primary gatekeeper and strategic partner to two Partners: managing a complex and ever-evolving calendar across multiple time zones
- Orchestrate domestic and international travel arrangements, including private aviation, ground transport, accommodation, and detailed itineraries
- Draft, edit, and proof executive communications, presentations, board materials, and confidential correspondence with exceptional accuracy and tone
- Proactively identify workflow inefficiencies and implement solutions that optimise the executive's time and bandwidth
- Liaise with board members, investors, clients, legal counsel, and senior stakeholders with the highest degree of professionalism and discretion
- Manage and reconcile expense reports, vendor contracts, and financial documentation
- Lead and mentor junior administrative staff; set the standard for the support team
- Handle sensitive, time-critical matters independently with sound judgment and confidentiality
- Anticipate the executive's needs across all professional and personal dimensions, blending seamlessly between both when required
WHAT WE'RE LOOKING FOR
- 6–10 years of Executive Assistant experience supporting C-suite executives in a high-stakes, fast-paced environment
- Prior experience in Venture Capital & Private Equity or an adjacent field (investment banking, law, consulting, luxury services) is required
- Exceptional written and verbal communication skills; polished presentation at all times
- Expert-level proficiency with Microsoft Office Suite, Google Workspace, and modern scheduling/productivity tools
- Proven ability to exercise discretion with highly sensitive and confidential information
- Demonstrated experience handling complex travel logistics, including private aviation
- Calm under pressure with outstanding problem-solving capabilities and a proactive mindset
- Bachelor's degree required; advanced education or relevant certifications a plus
