Position Summary
The Front Office Coordinator serves as the first point of contact for patients and visitors and plays a critical role in ensuring a positive patient experience. This position is responsible for managing front-desk coordination, scheduling appointments, verifying insurance coverage, collecting payments, maintaining patient records, and providing administrative and clerical support to providers and leadership. The Front Office Coordinator supports efficient practice operations while upholding professionalism, confidentiality, and compliance with applicable healthcare regulations.
Duties and Responsibilities
- Manage patient check-in and check-out processes, including verifying demographic and insurance information, collecting copayments or balances due, and scheduling follow-up appointments
- Greet patients and visitors professionally, both in person and via phone
- Answer incoming calls promptly and route inquiries appropriately
- Schedule patient appointments efficiently in alignment with provider availability
- Optimize provider schedules to support patient flow and satisfaction
- Notify providers of patient arrivals and appointment status changes
- Retrieve, update, and maintain accurate patient records within the electronic dental system
- Collect payments for dental services and balance daily cash and receipt records
- Prepare daily deposits and required financial reports
- Prepare and transport daily deposits to the bank and return deposit receipts to the office for recordkeeping
- Verify insurance coverage and communicate anticipated benefits and patient financial responsibility prior to appointments
- Ensure all required patient forms are completed, scanned, and attached to electronic records prior to treatment
- Maintain dental records and filing systems in accordance with applicable regulatory and professional standards
- Assist in the development and presentation of dental treatment plans by preparing estimates, reviewing insurance benefits, and explaining financial responsibilities to patients
- Provide clerical and secretarial support to providers and the Practice Manager, including referrals, correspondence, and faxing
- Sort, process, and distribute incoming and outgoing mail
- Maintain a clean, organized, and professional reception area
- Assist with orientation and training of new front office staff
- Maintain strict confidentiality of patient and practice information at all times
- Perform other duties as assigned by the Practice Manager
Minimum Qualifications
- High school diploma or GED required
- Minimum of one (1) year of experience in a dental or healthcare office preferred
- Reliable transportation and flexibility to travel between practice locations as business needs require
- Strong customer service and interpersonal communication skills
- Knowledge of dental office procedures, including patient intake, scheduling, and records management
- Proficiency in data entry and general computer applications
- Experience with dental or medical practice management software preferred (Ie. Open Dental, Modento)
- Knowledge of regulations and confidentiality requirements (e.g., HIPAA)
