Position Title – Operations Specialist (Wealth Management / RIA)

Role Summary
We’re hiring an Operations Specialist on behalf of our client—a growing wealth management firm.
This role plays a critical part in delivering a high-quality client experience by supporting advisors, managing operational workflows, and ensuring accuracy across client accounts and reporting. The ideal candidate is detail-oriented, proactive, and thrives in a collaborative, client-focused environment.
Core Responsibilities
• Support client onboarding, including preparation of contracts and account setup
• Establish and maintain client custodial accounts and ensure proper documentation
• Prepare and process account paperwork, transfers, and money movement requests (including rollovers)
• Manage beneficiary updates and ongoing account maintenance
• Monitor custodial alerts, communications, and workflows to identify and resolve issues
• Assist in maintaining accurate client data across CRM and reporting systems
• Support quarterly reporting processes, including data validation and report review
• Ensure consistency across portfolio allocations, reports, and investment policy guidelines
• Collaborate with advisors and operations team to resolve client service requests
• Assist with portfolio analysis preparation and reporting tools
• Act as a backup for general office and communication responsibilities as needed
• Contribute to process improvement and problem-solving for complex client situations
Candidate Profile
• Bachelor’s degree required
• 3–7 years of experience in financial services or wealth management operations
• Experience working with custodians such as Schwab, Fidelity, or similar platforms preferred
• Familiarity with CRM systems and reporting tools (e.g., Tamarac, PortfolioCenter) is a plus
• Strong attention to detail and comfort working with numbers and data
• Excellent written and verbal communication skills
• Team-oriented with a proactive, solutions-driven mindset
• Interest in pursuing professional designations (e.g., AAMS) is a plus
• Proficiency in Microsoft Office tools (Word, Excel, Outlook, PowerPoint)

Salary : $60,000 - $70,000
