Marketing Administrative Assistant (Contract – Potential to Convert)
Location: Midtown New York City (Hybrid: 3–4 days in-office, 1–2 days remote)
About the Role
We are seeking a highly organized, detail-oriented Marketing Administrative Assistant to support two Senior Marketing Managers in a fast-paced, dynamic environment. This role is ideal for a proactive professional with 1–5 years of experience who thrives on multitasking, problem-solving, and keeping operations running smoothly behind the scenes.
You will play a critical role in supporting day-to-day marketing operations, coordinating logistics, and contributing to the execution of high-impact campaigns and events. This is a contract opportunity with strong potential for permanent placement.
Key Responsibilities
Executive & Administrative Support
- Manage complex calendars, schedule meetings, and coordinate across internal and external stakeholders
- Arrange domestic and international travel, including itineraries, accommodations, and logistics
- Prepare and submit expense reports and invoices in a timely and accurate manner
Marketing & Presentation Support
- Assist in the creation, editing, and formatting of PowerPoint presentations for internal and client-facing use
- Support marketing initiatives by coordinating materials and ensuring brand consistency
- Help maintain and organize marketing assets and documentation
Event & Campaign Coordination
- Provide logistical support for marketing events, product launches, and internal activations
- Coordinate shipment and tracking of event materials, samples, and gifts
- Assist with on-site or virtual event execution as needed
Operations & Inventory Management
- Track and manage inventory of marketing products, samples, and corporate gifts
- Support customer mailings, including packaging, labeling, and distribution coordination
- Liaise with vendors and internal teams to ensure timely delivery of materials
Qualifications
- 1–5 years of administrative or marketing support experience, preferably in a fast-paced corporate or agency environment
- Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously
- High attention to detail and ability to work effectively under pressure in a dynamic setting
- Excellent written and verbal communication skills
Technical Skills
- Proficiency in Microsoft Office Suite, particularly Word and PowerPoint (advanced formatting and editing skills preferred)
- Familiarity with expense reporting and invoice processing systems is a plus
