Marketing Administrative Assistant (Contract – Potential to Convert)

Location: Midtown New York City (Hybrid: 3–4 days in-office, 1–2 days remote)


About the Role

We are seeking a highly organized, detail-oriented Marketing Administrative Assistant to support two Senior Marketing Managers in a fast-paced, dynamic environment. This role is ideal for a proactive professional with 1–5 years of experience who thrives on multitasking, problem-solving, and keeping operations running smoothly behind the scenes.

You will play a critical role in supporting day-to-day marketing operations, coordinating logistics, and contributing to the execution of high-impact campaigns and events. This is a contract opportunity with strong potential for permanent placement.

Key Responsibilities

Executive & Administrative Support

  • Manage complex calendars, schedule meetings, and coordinate across internal and external stakeholders
  • Arrange domestic and international travel, including itineraries, accommodations, and logistics
  • Prepare and submit expense reports and invoices in a timely and accurate manner

Marketing & Presentation Support

  • Assist in the creation, editing, and formatting of PowerPoint presentations for internal and client-facing use
  • Support marketing initiatives by coordinating materials and ensuring brand consistency
  • Help maintain and organize marketing assets and documentation

Event & Campaign Coordination

  • Provide logistical support for marketing events, product launches, and internal activations
  • Coordinate shipment and tracking of event materials, samples, and gifts
  • Assist with on-site or virtual event execution as needed

Operations & Inventory Management

  • Track and manage inventory of marketing products, samples, and corporate gifts
  • Support customer mailings, including packaging, labeling, and distribution coordination
  • Liaise with vendors and internal teams to ensure timely delivery of materials

Qualifications

  • 1–5 years of administrative or marketing support experience, preferably in a fast-paced corporate or agency environment
  • Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously
  • High attention to detail and ability to work effectively under pressure in a dynamic setting
  • Excellent written and verbal communication skills

Technical Skills

  • Proficiency in Microsoft Office Suite, particularly Word and PowerPoint (advanced formatting and editing skills preferred)
  • Familiarity with expense reporting and invoice processing systems is a plus
