The Accounts Receivable Specialist will manage billing, collections, and cash application across a high volume of active projects. This Accounts Receivable Specialist role is critical to ensuring accurate invoicing, timely collections, and overall financial health of the business. The Accounts Receivable Specialist will work closely with Project Managers and leadership, making it a highly visible opportunity with a clear path toward advancement.
Responsibilities
- Prepare and submit monthly invoices for 50–100 projects, ensuring accuracy and alignment with project progress and approved change orders
- Partner with Project Managers to review billing details and resolve discrepancies prior to submission
- Manage AIA billing processes and maintain compliance with customer-specific formats and requirements
- Monitor accounts receivable aging reports and proactively follow up on outstanding balances
- Communicate with customers to resolve billing issues, discrepancies, and payment delays
- Apply incoming payments to the correct customer and project accounts and reconcile deposits
- Support lien waiver documentation and coordinate with internal teams to ensure proper documentation and timing
- Assist with month-end close by reconciling billed versus collected revenue and preparing reporting for leadership
Qualifications
- Bachelor’s degree in Accounting or a related field (recent graduates strongly encouraged to apply)
- Internship or entry-level experience in accounting, billing, or accounts receivable is a plus
- Proficiency in Excel, Outlook, and Microsoft Office
- Familiarity with construction or project-based environments is helpful but not require
