Administrative Coordinator, Compliance & Accreditation
Location: New York, NY
Schedule: Hybrid (4 days onsite / 1 day remote after onboarding)
Compensation: $75,000–$85,000 Comprehensive Benefits
About the Opportunity
A mission-driven nonprofit organization is seeking an experienced Administrative Coordinator to support a highly confidential compliance and accreditation function. This position serves as a key administrative and project coordination resource, helping manage accreditation activities, documentation, reporting, records management, stakeholder communications, and other critical departmental initiatives.
The role is ideal for someone who enjoys managing complex processes, coordinating multiple stakeholders, maintaining detailed records, and ensuring projects move forward on schedule. The successful candidate will be trusted with sensitive information and must demonstrate exceptional professionalism, discretion, judgment, and organizational skills.
Key Responsibilities
- Provide administrative and operational support to department leadership.
- Coordinate accreditation and compliance-related initiatives, ensuring documentation, deadlines, submissions, and follow-up activities are completed accurately and on time.
- Maintain confidential records, files, correspondence, and reporting materials.
- Coordinate meetings, calendars, agendas, action items, and meeting minutes.
- Draft, proofread, and distribute reports, correspondence, policies, contracts, and other documentation.
- Gather information and prepare summaries, reports, and supporting materials for leadership and external stakeholders.
- Maintain databases, tracking systems, and document management processes.
- Coordinate the collection and organization of information from internal departments and external partners.
- Assist with records management, retention initiatives, and file digitization projects.
- Monitor project timelines and ensure timely completion of deliverables and follow-up actions.
- Collaborate with Human Resources, Legal, Communications, Operations, and other departments as needed.
Qualifications
- 3–7 years of administrative, legal support, compliance, HR, project coordination, operations, or related experience.
- Experience supporting audits, accreditation reviews, compliance initiatives, investigations, certifications, regulatory processes, or other documentation-heavy projects strongly preferred.
- Excellent written communication, proofreading, and document management skills.
- Strong organizational and project coordination abilities.
- Ability to manage multiple priorities while maintaining exceptional attention to detail.
- Proven ability to handle confidential and sensitive information with discretion.
- Proficiency with Microsoft Office Suite and experience working with databases, document management systems, or tracking tools.
