Midtown, Manhattan, NYC
Position Summary:
On a daily basis, under the direction and supervision of the supervisor, the position will act as the first point of contact for the NYC office and provides a broad range of administrative, organizational, and project support.
Essential Functions & Basic Duties:

- Welcome all onsite visitors, ensure proper sign-in and issue visitor badges.
- Announce guest arrivals to appropriate personnel.
- Schedule and coordinate conference rooms for meetings and events.
- Arrange catering and refreshments for in-person meetings as needed.
- Monitor office and kitchen supply inventory and coordinate with Facilities for reordering.
- Provide comprehensive administrative support to the Sterling Analytics department, including:
- Assisting with meeting agendas and preparation of materials.
- Client invoicing and check reconciliation.
- Logging and tracking legal invoices in account spreadsheets.
- Managing departmental inboxes and daily legal bill review downloads.
- Pulling and formatting legal bills for review and reconciliation.
- Verifying receipts and preparing reports as needed.
- Creating and maintaining invoice tracking spreadsheets.
- Prepare and coordinate outgoing mailings, including FedEx and other couriers.
- Support ad-hoc administrative projects and requests from department leadership.
Knowledge, Skills, & Abilities:
- Polished professional with a welcoming and proactive attitude.
- Strong organizational and time management skills; able to handle multiple priorities in a fast-paced environment.
- Exceptional attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Adobe Acrobat, and PDF Exchange; experience with Applied EPIC a plus.
- Comfortable working with all levels of the organization and external vendors.
- Familiarity with general office equipment (printers, copiers, etc.).
- Strong team player with a collaborative approach to problem-solving.
Education and Work Experience:
- College degree preferred
- At least one to two years of experience in an administrative assistant, office coordinator, or similar support role; or as a paralegal
- Experience working in a mid-sized company

Salary:
The estimated base salary range for this full-time position is $48,000 – $50,000 annually, plus benefits, and can vary based on location.
The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty and training. The hiring range represents the company's good faith and reasonable estimate of the range of possible compensation at the time of posting.
