Introduction

What We Are Looking For: An individual with the ability to work independently to perform the initial analysis and processing of informal complaints for the Division Legal Services and Compliance.

Where We Are Located: This position is headquartered at the Hill Farms State Office Building in Madison, WI. After an initial training period, this position allows the option to work remotely up to 4 days per week. All employees are generally expected to work within the State of Wisconsin. This position will be required to come into the office for training, meetings and/or operational needs. This topic will be discussed more at the time of the interview.

Position Summary

Responsibilities

This Consumer Complaint Program Associate position is responsible for the initial analysis and processing of informal complaints received by the Division of Legal Services and Compliance against health, business, and trade professionals. This position performs administrative tasks with substantial independence in decision making and task scheduling and communicates with internal and external customers each day. Under demanding time constraints, this position is also required to produce accurate documents and maintain precise records for the complaint tracking system. Specific responsibilities include:

  • Analyze and record informal complaints received by the Division of Legal Services and Compliance
  • Manage the progression of complaints through the initial review process
  • Organize and coordinate screening panel meetings
  • Process the opening and closing of complaints following screening
  • Evaluate and implement best practices and procedures relating to the Unit and assigned professions

Salary Information

This position is in schedule-range (02-11) with an hourly rate of $22.31, plus excellent benefits. A twelve month probationary period is required. Pay for current state employees will be set in accordance with the Wisconsin State Compensation Plan.

Qualifications

Minimally qualified applicants will have experience with the following:

  • Experience utilizing databases to perform tasks such as entering and retrieving data.
  • Experience using computer programs such as Microsoft Office, Outlook, Excel, or comparable. Experience may include activities such as accessing emails in a shared mailbox, creating or maintaining documents, or performing multiple level filter and/or sorting within a spreadsheet.
  • Experience assisting internal and external customers with inquiries/questions utilizing the phone, email, letters or comparable.

In addition to having all of the above, well qualified applicants will have one or more of the following:

  • Experience or training utilizing and maintaining online databases or uploading shared documents to shared sites, such as SharePoint or a comparable program.
  • Experience analyzing, reviewing or processing consumer complaints.
  • Experience utilizing Adobe Acrobat Pro or comparable to perform tasks such as combining documents, bookmarking, text recognition, and/or password-protection.
