Administrative Assistant - Supply Chain Support
Job Location: Menomonie, WI
Starting Date: Immediate Opening
Employment Term: Temporary for the Summer or Temp-to-Hire for a candidate who can start immediately
Employment Type: Full-Time
Work Hours (Shift): Monday-Friday, 8:00 AM-5:00 PM (some flexibility available after training)
Starting Pay: $20.00-$23.00/hour, based on experience
Required Education: High School Diploma or Equivalent
Required Experience: Previous office experience required; purchasing, supply chain, or administrative support experience preferred
Position Overview
A growing Menomonie manufacturer is seeking a detail-oriented Administrative Assistant to support its Supply Chain team. This position plays a key role in processing purchase orders, maintaining supplier communications, tracking deliveries, and ensuring purchasing records remain accurate and up to date. This opportunity is ideal for someone who enjoys working with spreadsheets, data entry, and business systems while supporting a fast-paced team environment.
Responsibilities
- Extract information from spreadsheets and generate purchase orders within an ERP system
- Create, process, and distribute purchase orders to suppliers via email
- Monitor order status and follow up with suppliers regarding confirmations and shipment updates
- Track incoming deliveries and maintain records of open purchase orders
- Communicate with suppliers regarding invoices, payment status, and account inquiries
- Provide payment confirmations and supporting documentation to facilitate material shipments
- Maintain supplier payment schedules and prepayment tracking reports
- Perform accurate data entry and recordkeeping activities
- Support purchasing and supply chain personnel with administrative and reporting functions
- Assist with additional office duties as assigned
Qualifications
- Proficiency with Microsoft Excel and Microsoft Office programs
- Strong data entry skills with excellent accuracy and attention to detail
- Excellent written and verbal communication skills
- Professional email communication and customer service abilities
- Strong organizational and time-management skills
- Ability to manage multiple priorities and meet deadlines
- Experience working in an office environment required
- Purchasing, inventory, supply chain, or ERP experience is a plus
