Job Title: Legal Administrative/Executive Assistant – Private Client (Trusts & Estates)
Location: [Boston, Massachusetts) - Hybrid (1–2 days remote per week)

Overview:
Our client, a prestigious law firm with offices in Boston, NYC and San Francisco, is seeking a highly skilled Legal Administrative/Executive Assistant to provide comprehensive support to several attorneys in the Private Client Department (Trusts & Estates). This role is ideal for a proactive, detail-oriented professional who thrives in a fast-paced environment, maintains strict confidentiality, and enjoys collaborating with a dynamic legal team.
Key Responsibilities:
- Serve as the right-hand to attorneys, managing their Private Client practices and client service.
- Organize, prioritize, and manage the flow of information and requests from internal and external clients.
- Assist attorneys with administrative tasks, including calendaring, conflict checks, and client communications.
- Monitor and manage attorneys’ calendars and diaries for timekeeping purposes.
- Draft, format, proofread, and edit legal documents, presentations, and spreadsheets with precision.
- Assist with time entry and preparation of client bills to ensure timely submission.
- Arrange and coordinate meetings, events, signings, and travel logistics for attorneys and clients.
- Coordinate reimbursements, reconcile expenses, and process invoices efficiently.
- Track business development activities and follow-up actions.
- Build and maintain productive relationships with internal teams and external vendors to ensure smooth workflow.
- Manage transmission and organization of legal correspondence and documentation.
- Arrange service of process, hand-deliveries, and conference calls as needed.
- Relay and interpret communications between attorneys, paralegals, and other staff.
Qualifications:
- 8–10 years of administrative, legal, or executive assistant experience required; Private Client or Trusts & Estates experience preferred.
- BA/BS degree preferred, but not required.
- Proficiency in Microsoft Word, Outlook, Excel, PowerPoint, and PDF tools (Adobe/Kofax).
- Excellent organizational, communication, and client service skills.
- Ability to maintain strict confidentiality and exercise discretion.
- Strong attention to detail and ability to manage multiple responsibilities efficiently.
- Professional, flexible, proactive, and able to work independently or collaboratively.
- Willingness to adjust schedule for occasional overtime as required.

Salary : $100,000 - $115,000
