About The Position

Under the supervision of the PACE Associate Director, the Transportation Manager oversees the PACE and Reid Health Non-Emergent Transportation programs. Responsibilities include managing the transportation of participants/patients, meals, durable medical equipment, and medications, as well as scheduling transportation services. The Transportation Manager is also responsible for hiring, training, supervising, and providing oversight to drivers and dispatchers, addressing additional transportation needs as required. This role includes managing vehicle repairs and maintenance, identifying cost-effective vendors, and ensuring quality service. Additionally, the Transportation Manager is accountable for achieving departmental budget goals and ensuring operational efficiency.

Overview Of Responsibilities

  • Manages the transportation staff. Completes all rounding and annual reviews in a timely manner.
  • Manages the transportation staff schedules.
  • Responsible for transportation interviewing, hiring, orientation, competency, and training procedures.
  • Assist in planning daily transportation routes within program’s service area. Assist with re-routes in the event of calls offs/schedule changes during on call hours and communicate those updates/changes to Drivers and the PACE team.
  • Ensures annual employee performance reviews are conducted in a timely and effective manner. Evaluates performance of employees for compliance with established policies and objectives of the organization and contributions in attaining objectives.
  • Recognizes and rewards employees; carries out corrective disciplinary procedures and practices (under direction of supervisor and in partnership with Human Resources), addresses complaints and resolves problems.
  • Regularly schedules staff meetings or huddles to provide leadership, development, and a forum for communication to ensure coordination and collaboration in meeting organization and individual goals.
  • Participate in the interdisciplinary team meetings, communicate participant changes, collaborate on care planning decisions and coordination of 24-hour care delivery, as appropriate.
  • Investigates accidents and/or incidents, ensuring completion of necessary documentation and notification.
  • Collaborate with the Associate Director in the annual and capital budget development and maintain the departmental budget within its allowed and reasonable objectives as well as meets established budgetary guidelines.
  • Ensures cost effectiveness of Transportation department monthly through collection, tracking and trending of historical data and making operational changes accordingly.
  • Use of technology (computer, hardware, software) to program, write software, set up functions, enter data and process information.
  • Oversee vehicle maintenance program and obtain estimates and authorize vehicle repairs per departmental policies.
  • Research new vehicle options and assist in the ordering and purchasing of new vehicles.
  • Ensure that vehicles have up-to-date Department of Motor Vehicle registration forms, license plates and emission stickers.
  • Ensure cleanliness and proper functioning equipment as well as safe driving conditions for each vehicle.
  • Ensure that all departmental staff attend and successfully execute required annual driver training courses and participate in mandatory in-service training.
  • Develop and maintain operational policies and standards, including determining safety procedures.
  • Set clear expectations and assign appropriate authority to staff; hold staff accountable for their scope of work and compliance to company policies and procedures.
  • Follows all Policies and Procedures and OSHA safety guidelines.
  • Maintain the confidentiality of all company procedures, and information about participants, clients, or families.
  • Handle potentially infectious specimens with appropriate biohazard precautions, and practice standard precautions.
  • Participates in and supports Quality Improvement initiatives.
  • Participates in continuing education classes and any required staff and training meetings. Maintain professional affiliations and any required certifications.
  • Complies with CMS PACE regulations as they pertain to this role.
  • Perform other duties as required or requested.

Education & Experience

  • Minimum Education Required: Associate degree or in lieu of degree, 3 years of experience in transportation setting.
  • Minimum Education Preferred: Bachelor’s Degree
  • Minimum Experience Required: 2 years of administrative/supervisory experience, in a transportation setting; experience in the transportation industry preferred.
  • Minimum of 1 year working with the frail and elderly.
  • Minimum Experience Preferred: 2 years of administrative/supervisory experience, in a transportation setting; 5 years of experience in the transportation industry preferred.
  • Minimum of 1 year working with the frail and elderly.

Licensure & Certification

  • Licensure: Valid driver’s license
  • Certifications: CPR
