Overview:
Redwood Community Services, Inc. is seeking a detail-oriented and proactive Administrative Coordinator to support our program operations. This role is responsible for ensuring the smooth functioning of the front desk and facility, supporting staff and clients, and managing records. The ideal candidate will be able to work independently, solve problems efficiently, and coordinate across multiple teams and programs.
Key Responsibilities
- Oversee the overall functioning and daily operations of the facility, including management of the front office area.
- Answer and direct incoming calls to appropriate staff; take and forward messages as needed.
- Manage, organize, track, and purchase office supplies for the facility to ensure efficient operations.
- Monitor Outlook 365 and respond to agency emails promptly and professionally.
- Maintain the interoffice mailbox system, ensuring timely mail distribution and pickup.
- Monitor facility maintenance needs and coordinate appropriate services as required.
- Greet and assist walk-in visitors, providing information on and referrals to RCS programs such as housing, shelter, and related community services.
- Serve as a back-up for youth transportation when needed.
- Supervise children and youth who are waiting for therapy sessions or while parents are meeting with therapists, as required.
- Manage data entry within the Electronic Health Record (EHR) system, including client chart creation, document uploads, and ongoing record maintenance.
- Verify accuracy and completeness of client records, ensuring updates are reflected in all relevant systems and files.
- Collaborate closely with staff and community partners to enhance quality of care, operational efficiency, and compliance.
- Conduct regular audits of client charts to ensure all documentation is complete, properly signed, dated, and filed in the appropriate sections.

Education and Experience Requirements
- High school diploma or GED required; additional education in a mental health-related field may substitute for up to two years of experience.
- Minimum of 2–5 years of relevant experience preferred, depending on level:
- Experience with Medi-Cal Specialty Mental Health Services and medical billing software preferred.
- Bilingual Spanish/English preferred but not required.
- Proficient in Microsoft Office, scheduling, and billing software.
Conditions of Employment:
- May work across all agency programs as needed.
- Occasional flexible work schedule required to meet individual client needs.
- Must possess a valid CA Driver’s License, current auto insurance, and a clean DMV printout (no more than 3 points).
- Must pass a clear background check with CACI, DOJ & FBI.
- CPR and First Aid Certified.
- TB Exam and Physical at the time of employment.
Driving Requirement:
- Driving is a required function of this position. Employees must use a personal vehicle that meet all agency requirements, including maintaining liability insurance that meets or exceeds state requirements.
- Employees are responsible for ensuring the timely renewal of their vehicle insurance policies and providing updated documentation to the agency to remain in good standing and compliant with position requirements.

- Comprehensive onboarding including CPR/First Aid, Crisis Communication/Pro-ACT, Trauma-Informed Care, Motivational Interviewing, and Collaborative Problem Solving.
