Position Summary
We are seeking a highly organized and proactive Administrative Coordinator to take ownership of the daily administrative operations of our Eureka office. As a small company, we are looking for someone who can run the local administrative functions independently while collaborating closely with three other Eureka-based staff, our central hub team in Anderson, CA, and our extended offices in Chico, Yuba City, Oregon, Arizona, and Michigan.
This position requires a flexible, “all-hands-on-deck” mindset. At Guzi-West, we value team members who are willing to wear multiple hats and step in wherever needed to support the success of our projects. The role will also require a minimum of two weeks of in-person training at our Anderson headquarters to ensure you are fully equipped to succeed.
Key Responsibilities
- Answer phones, e-mails, and manage incoming mail.
- Enter new projects and proposals into company systems.
- Assist project technicians with scheduling, ordering supplies, and gathering project details.
- Manage office operations, including internet, Wi-Fi, rent, and general supplies.
- Maintain positive relationships with service providers and clients.
- Provide support for calendar management and scheduling.
- Operate a multi-line phone system with professional etiquette, addressing inquiries promptly.
- Ensure efficient front desk operations, including welcoming visitors and managing communications.
- Collaborate heavily with the Anderson-based central team while supporting local staff in Eureka.
Qualifications
Minimum:
- Associate’s degree.
- At least 5 years of relevant experience in an administrative role.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multitask effectively.
- Proficiency in Microsoft Teams, Outlook, Slack, Monday.com, Gusto, and similar tools.
- Willingness and ability to train in-person at Anderson, CA for a minimum of 2 weeks.
Preferred:
- Proficiency in QuickBooks and other bookkeeping software.
- Experience with training, mentoring, and/or supervising staff.
- Demonstrated ability to work independently with confidence and professionalism.
- Strong problem-solving skills with a creative, solutions-oriented mindset.
- Comfortable serving as the administrative face of the company on the coast, representing Guzi-West to clients, vendors, and partners.
- Systems-oriented, detail-focused, and able to keep project and office data accurate and organized.
- Motivated to grow with Guzi-West long-term and support the company’s expansion in the Eureka region.
- Flexible, team-oriented, and willing to “wear multiple hats” to support the company’s culture and success.

You may spend part of your day answering phones and emails, entering projects, coordinating technician schedules, ordering supplies, or supporting client communications.
