Salary Range: $30-$35/hour
Rainbow Companies is seeking a highly organized, proactive and professional Administrative Assistant to support our executive leadership team and ensure smooth office operations. This role is ideal for a detail-oriented professional with strong administrative, interpersonal, and executive support skills.
The position is divided into three key areas:
Executive Support (50%)
• Coordinate travel arrangements, including flights, lodging, and itineraries.
• Schedule meetings, prepare agendas, and manage follow-ups.
• Arrange meals and catering for meetings and events.
• Prepare and submit expense reports for executives.
• Handle confidential information with discretion and professionalism.
• Serve as liaison between executives and internal/external stakeholders.
• Perform additional executive support tasks as needed.
Financial & Check Processing (25%)
• Process incoming checks with accuracy and timeliness.
• Maintain records of financial transactions and assist with reconciliation.
• Support the finance team with basic reporting and documentation tasks.
• Ensure compliance with internal controls and confidentiality standards.
Office Administration (25%)
• Greet visitors and staff with professionalism and warmth.
• Answer phones, direct inquiries, and manage front desk communications.
• Maintain office supplies, coordinate vendors, and support facility needs.
• Sort and distribute incoming mail and prepare outgoing mail.
• Assist with onboarding and HR documentation for new employees.
• Foster a helpful and welcoming environment for all team members.
Qualifications
• 3 years of experience in administrative or executive support roles.
• Prior experience in finance and/or accounting support preferred.
• Strong proficiency in Microsoft Office Suite and calendar management tools.
• Excellent communication, organizational, and problem-solving skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Excellent interpersonal, communication, and organizational skills.
• Professional demeanor and a proactive approach to challenges.
