Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth
- Operate multi-line phone systems, handle incoming calls with courteous phone etiquette, and direct inquiries efficiently
- Perform data entry and maintain accurate records using computer skills, including Microsoft Office and Google Workspace applications
- Organize files, manage calendar appointments, and coordinate meetings to support team productivity
- Performing conflict checks and assist with file opening duties.
- Maintain, keep record, and manage red rope files. Including files at off-site storage facility.
- Support office management tasks such as supply ordering, filing, proofreading documents, and maintaining office organization
- Provide customer support by addressing inquiries promptly and professionally both in person and via phone or email
Requirements
- Proven experience in an office environment with clerical or administrative responsibilities
- Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Experience with multi-line phone systems, phone etiquette, data entry, filing, proofreading, and calendar management required
- Previous experience as a receptionist—medical or dental—personal assistant or in customer service roles is advantageous
- Demonstrated ability to handle confidential information discreetly while providing exceptional customer support
