Administrator

We are seeking a qualified and motivated candidate to provide administrative support for our rapidly growing company. Key duties of this position include:
- Performing all activities related to client billing and job accounting.
- Understand, verify, and process work order service tickets, and generate invoices on contracts, additions, and T&M work.
- Initiate and process jobs in accounting software system.
- Maintain all project and supporting backup documentation for all related projects.
- Review and update SOPs as needed related to administrative functions.
- Assist with external customer communication including performance/payment bonds, customer correspondence, billing questions, resolution of questions/disputes, safety, billing, A/R, documentation transmittals, RFI’s, warranty letters, lien wavers, submittal tracking, etc.
- Assist and support other admins with transition projects from sales department to administrative department, including all job initialization functions related to setup in our accounting system, contract processing, subcontract processing, bonding, tax exempt certificates, drug testing, new client credit checks, etc.
Qualifications/Skills/Requirements:
- High school diploma, plus post H.S. education/training in office administration and/or accounting
- Minimum 4 years’ experience in a Billing Administrative role or equivalent
- Strong working knowledge of Word, Excel, Outlook, Power Point
- Experience with ERP such as Sage, Quickbooks, CMIC, Fieldpoint, or equivalent platforms
- Excellent organizational skills with good attention to detail and ability to prioritize tasks to meet deadlines
- Outstanding customer interface and human relations skills
- Ability to learn quickly and retain information
- Excellent problem-solving skills
- Ability to adapt to juggle multiple priorities and work under pressure
- Fluent ability to work with laptops, tablets, smartphones
- Ability to work in a fast-paced environment

Salary : $55,000 - $80,000
