Quest Group is actively recruiting for a strong Billing Administrator. This Billing Administrator will be responsible for managing the full-cycle legal billing process for a nationwide law firm. This role ensures accurate, timely, and compliant client invoicing in accordance with firm policies, client guidelines, and legal billing standards. The ideal candidate is detail-oriented, highly organized, and experienced in legal billing systems and practices.
Key Responsibilities
- Prepare, review, and process client invoices (monthly, quarterly, and ad hoc)
- Collaborate with attorneys and staff to ensure billing accuracy and compliance with client agreements
- Edit prebills based on attorney feedback and client billing requirements
- Ensure adherence to outside counsel guidelines, including e-billing protocols (LEDES formats, task codes, etc.)
- Submit invoices through various e-billing platforms and resolve rejections or reductions
- Monitor and follow up on outstanding invoices, billing discrepancies, and client inquiries
- Maintain billing records and ensure proper documentation for audits and reporting
- Assist with time entry corrections and billing adjustments as needed
- Generate billing reports and provide analysis to management upon request
- Support month-end and year-end closing processes related to billing
- Stay current with legal billing trends, compliance requirements, and system updates
Qualifications
Education & Experience
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field (preferred)
- 5 years of billing experience, preferably in a law firm or professional services environment
- Previous supervisory experience
Skills & Competencies
- Strong knowledge of legal billing practices and e-billing systems
- Proficiency in billing/accounting software (e.g., Elite, Aderant, or similar platforms)
- Familiarity with e-billing platforms (e.g., CounselLink, Legal Tracker, Serengeti)
- Advanced proficiency in Microsoft Excel and Office Suite
- Excellent attention to detail and organizational skills
- Strong communication skills and ability to work collaboratively with attorneys and staff
- Ability to manage multiple priorities and meet tight deadlines
- Problem-solving mindset with a high level of accuracy and accountability
Salary : $80,000 - $95,000
