SUMMARY: This position is expected to learn and execute all aspects of the receiving department. Sort and route inbound packages to proper locations and enter invoice data into the company database to help ensure accurate tracking and routing of inbound packages. Responsible for the overall accuracy and accountability of inbound vendor shipments of product according to the purchase order. Receive and verify the accuracy of incoming vendor shipments by confirming quality and quantity and entering them into the company database for accurate inventory records.
ESSENTIAL FUNCTIONS:
- Sort and deliver incoming product from suppliers according to internal distribution location.
- Open and enter into the company database the shipping tracking number, details of the invoice and assign an internal control number.
- Contact the supplier by email and ensure receipt of the invoice when the invoice is not present with the inbound package.
- Scan all invoices, upload them to the company database, and send them to the accounting department.
- Maintain and order Polybags, labels and packaging from supplier or internal sources.
- Receive and visibly inspect incoming product from vendors, and quality-control each item to ensure quality standards are met, and the product is accurate based on the purchase order, country of origin, and catalog descriptions.
- Count and enter product quantities into the company database using the correct product SKU.
- Work with consumer packaging to package and label products according to specific account specifications for product shipment preparation.
- Reconcile incoming product invoice data with the purchase order.
- Enter vendor style numbers into the company database and verify accuracy against the invoice and company style (control) numbers, including researching purchase orders and style numbers.
- Contact and resolve invoice, shipping, and product discrepancies and defects with vendors and document notes and product return information into the database system.
- Update Customer on product shortages, delays, or any issues regarding the shipment of product.
- Contact and resolve invoice discrepancies with vendors and document notes into the database system regarding any issues with shipment and product discrepancies.
- Prioritize based on product allocation and current stock levels and distribute products to vendor account-specific staff.
- Place product into bags according to the specified instructions and print and place product-identifying labels on the bags for the product to be stocked in its proper location.
- Clean work area and replenish supplies as needed

PHYSICAL DEMANDS
- Ability to occasionally lift and carry items weighing up to 35 pounds.
- Ability to sit and/or stand for extended periods of time throughout the workday, with occasional twisting or turning at a workstation.
- Requires walking on a level surface for short or long periods throughout the day.
- Frequent use of vision to view small print, product details, computer screens, and printed materials for the majority of the day.
- Ability to distinguish colors in various forms to verify product specifications.

WORK ENVIRONMENT: This position is working at a workstation in an indoor, climate-controlled area within the secure warehouse. Dust from packages and noise from warehouse machinery are prevalent throughout the warehouse. This position uses typical office equipment, including a computer, monitor and keyboard, mouse, filing cabinets, printers, scale, loop, millimeter gauge, calculator, and ruler.
Individuals working in the "secure area" must follow the Company's Secure Area Dress Code and Security policies and procedures. All clothing must be free from metal, and no metal may be worn into the secure area of the building. Any metal inside or outside the body due to a medical condition must be visually inspected, or reasonable accommodations may be made.
POSITION TYPE AND EXPECTED HOURS OF WORK: Flexible full-time hours with an eight-hour shift between 8:00 a.m. and 6:00 p.m. Some Saturdays or overtime hours may be required during peak seasons.
