We are seeking a highly organized and detail-oriented Project Coordinator to provide administrative and operational support for a federally funded workforce development and education program. This temporary, part-time role will support program management, coordinate activities across multiple stakeholders, and ensure smooth day-to-day operations.
The ideal candidate is proactive, collaborative, and comfortable managing multiple priorities in a fast-paced environment.
Location: Hybrid (once trained)
Schedule: 16 hours per week (Tuesday & Wednesday, 8:00 AM–4:00 PM; flexible scheduling available)
Duration: June 2026 – November 2026
Compensation: $20.00 per hour
Key Responsibilities
Project & Event Coordination
- Coordinate and schedule meetings, trainings, and program-related events.
- Support communication and collaboration among partners, stakeholders, and internal team members.
- Prepare meeting materials, agendas, and follow-up documentation as needed.
Financial & Administrative Support
- Process invoices, payments, purchase orders, and expense documentation.
- Track and reconcile program-related expenditures.
- Assist with financial recordkeeping and administrative reporting.
Travel Coordination
- Coordinate travel arrangements and approval processes for program staff.
- Manage travel documentation, reimbursements, and related administrative tasks.
Data Management & Recordkeeping
- Maintain accurate program records, tracking systems, databases, and activity logs.
- Ensure documentation is complete, organized, and compliant with program requirements.
- Generate reports and provide administrative support for program evaluation activities.
Operational Support
- Perform a variety of day-to-day administrative functions to support program operations.
- Assist with special projects and additional duties as assigned.
Qualifications
Required Skills & Experience
- Previous experience in project coordination, administrative support, program support, or office management.
- Excellent organizational skills with strong attention to detail.
- Ability to manage multiple priorities and meet deadlines independently.
- Strong customer service and relationship-building skills.
- Professional and effective communication skills, both written and verbal.
- Demonstrated ability to collaborate with diverse teams and stakeholders.
Technical Skills
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).
- Experience using Google Workspace (Docs, Sheets, Drive, Calendar).
- Comfortable learning and navigating new software systems and administrative platforms.
Preferred Qualifications
- Experience supporting grant-funded programs, educational initiatives, healthcare programs, nonprofit organizations, or workforce development projects.
- Familiarity with financial processing, invoice management, or budget tracking.
