We are seeking a detail-oriented and highly organized Payroll & Accounting Specialist to join our team. This role is primarily responsible for the accurate and timely processing of payroll, ensuring compliance with all applicable federal, state, and local regulations.
The ideal candidate will have a strong payroll background and a thorough understanding of payroll laws, taxes, reporting requirements, and employee compensation practices. Over time, this individual will be cross-trained in Accounts Payable (AP) and Accounts Receivable (AR) functions, developing into a versatile accounting team member capable of supporting a variety of financial and administrative processes.

Essential Duties and Responsibilities
Payroll Administration (Primary Responsibility)
- Process payroll accurately and on schedule for all employees.
- Review and validate employee time records, timesheets, and attendance information.
- Monitor and calculate regular, overtime, and other compensable hours.
- Process payroll taxes, deductions, garnishments, benefit withholdings, and retirement contributions.
- Manage direct deposits and payroll-related employee records.
- Track and maintain employee paid time off (PTO), vacation balances, and leave usage.
- Maintain accurate employee payroll records and process employee status changes.
- Respond to employee payroll inquiries and resolve discrepancies in a timely manner.
- Ensure compliance with all federal, state, and local payroll regulations and wage laws.
- Prepare payroll reports and support year-end reporting requirements, including W-2 processing.
- Process expense reimbursements, including mileage and per diem payments when applicable.
- Assist with payroll audits and provide documentation as required.
- Maintain payroll systems and ensure payroll procedures remain current and compliant.
- Prepare certified payroll reports and ensure compliance with prevailing wage requirements when applicable.
- Collaborate with Human Resources and other departments to ensure accurate employee data and reporting.
- Maintain strict confidentiality of employee and company information.
Accounting Support & Cross-Training
- Participate in ongoing training to learn Accounts Payable and Accounts Receivable functions.
- Provide backup support for AP and AR activities as needed.
- Assist with invoice processing, vendor payments, customer billing, and collections.
- Support account reconciliations and month-end accounting processes.
- Assist with financial reporting and audit preparation.
- Contribute to process improvements and departmental efficiency initiatives.
Administrative Support
- Answer and direct incoming phone calls and correspondence.
- Provide administrative support to accounting and operational teams.
- Coordinate employee travel and lodging arrangements as needed.
- Maintain company records, registrations, and related documentation.
- Assist with office supply management and other general administrative duties.
- Perform other duties as assigned.
Qualifications
Required
- Minimum of 3 years of payroll experience.
- Demonstrated knowledge of payroll processing, payroll taxes, and payroll compliance requirements.
- Experience managing payroll in a multi-state environment preferred.
- Strong understanding of wage and hour laws and payroll regulations.
- Excellent attention to detail and accuracy.
- Strong analytical, organizational, and problem-solving skills.
- Ability to handle confidential and sensitive information with discretion.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Proficiency with Microsoft Office, particularly Excel.
- Experience using payroll and accounting software.
Preferred
- Associate degree in Accounting, Finance, Business Administration, or a related field.
- Experience with certified payroll and prevailing wage reporting.
- Experience with Accounts Payable and/or Accounts Receivable functions.
- Experience within construction, manufacturing, or other project-based industries.
- Familiarity with ERP, accounting, or payroll management systems.
