Position Overview:
The Architectural Project Coordinator is the central link that keeps our architectural projects running on time, on budget, and at the highest quality. In this role, you’ll work directly with architects, designers, contractors, and our in-house production team to move projects from concept to completion. Your work will start from the moment a client expresses interest—helping prepare quotes, collecting design specifications, and organizing project timelines—and continue through production scheduling, quality checks, and final delivery.
On any given day, you might be:
- Coordinating with our design team to translate architectural drawings into production-ready files
- Managing approval processes for material samples, finish selections, and spec sheets
- Tracking the status of multiple projects at once, ensuring deadlines are met without sacrificing quality
- Acting as the go-to resource for clients who have questions or need updates
- Liaising with our print farm to ensure each piece is produced to spec and shipped on schedule
- Preparing installation documentation and coordinating logistics with contractors

Key Responsibilities:
- Serve as the main point of contact for architectural clients, from quoting through project completion
- Prepare and manage quotes, bids, and proposals in coordination with sales and design teams
- Maintain project timelines, track milestones, and update all stakeholders on progress
- Coordinate with the design team on drawings, renderings, and technical details for approval
- Prepare and manage material samples, spec sheets, and submittal packages for clients and contractors
- Track and manage production orders, ensuring deadlines are met and installations are scheduled
- Maintain accurate records in CRM and project management software
- Assist with RFI responses, change orders, and project documentation
- Coordinate shipping, logistics, and installation support for completed products
- Identify process improvements to increase efficiency and client satisfaction
Qualifications:
- 2 years of experience in project coordination, preferably in architecture, construction, or manufacturing
- Strong organizational skills with the ability to manage multiple projects simultaneously
- Excellent communication skills, both written and verbal, with a client service mindset
- Familiarity with architectural drawings and construction documentation (training provided if needed)
- Proficiency with project management tools, CRMs, and basic office software (Google Workspace, MS Office)
- Ability to work on-site in Chesterfield, MO, and collaborate closely with production teams
- Detail-oriented, deadline-driven, and able to adapt in a fast-paced environment
