About the Role:
We are seeking a highly organized and proactive Project Coordinator to support our Project Manager and project teams on transmission, distribution, and substation construction projects. This onsite role plays a key part in ensuring smooth project execution, maintaining accurate documentation, and facilitating communication across internal teams, field personnel, clients, and vendors.
Key Responsibilities:
- Assist Project Manager with day-to-day project activities, scheduling, and task tracking.
- Prepare, organize, and maintain project documentation, including schedules, meeting notes, submittals, RFIs, change orders, and closeout materials.
- Coordinate with field teams to collect progress updates, time sheets, and reports.
- Track project milestones, deliverables, and deadlines to ensure timely completion.
- Support procurement activities, including preparing purchase orders, tracking material deliveries, and coordinating with suppliers.
- Assist in budget tracking and cost documentation.
- Facilitate communication between office staff, field crews, subcontractors, and clients.
- Schedule meetings, prepare agendas, distribute action items, and follow up on next steps.
- Support safety documentation and compliance tracking.
- Help maintain project management systems, logs, and databases.
Qualifications:
- 2 years of experience in project coordination, preferably in construction or electrical utility projects (T&D or substation experience a plus).
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook); experience with project management software is a plus.
- Detail-oriented, proactive, and able to work independently while supporting a team.
- Ability to work full-time onsite Monday–Friday in Irvine, CA.
