The Import Coordinator will be responsible for managing end-to-end import shipments via air and ocean freight, ensuring the timely movement of cargo, accurate documentation, regulatory compliance, and exceptional customer service. This role requires strong knowledge of international logistics processes, carrier coordination, import compliance, and the ability to manage multiple shipments in a fast-paced freight forwarding environment.

Key Responsibilities
- Coordinate and manage international air and ocean import shipments from origin through final delivery.
- Arrange bookings with overseas agents, steamship lines, airlines, truckers, and warehouses.
- Prepare, review, and process import documentation including: Arrival Notices, Air Waybills (AWB), Ocean Bills of Lading (B/L), Commercial Invoices, Packing Lists, Delivery Orders, Customs documentation and other required import paperwork
- Coordinate with customs brokers to ensure timely customs clearance and regulatory compliance.
- Communicate with customers, overseas agents, carriers, trucking companies, warehouses, and customs brokers to ensure smooth shipment execution.
- Monitor shipment milestones and proactively resolve delays, exceptions, and operational issues.
- Track cargo availability, customs clearance status, and final delivery schedules.
- Ensure compliance with U.S. import regulations, carrier requirements, and international trade procedures.
- Maintain accurate shipment records within freight forwarding systems.
- Provide customers with regular shipment updates and exceptional customer service throughout the import process.
- Collaborate with operations, sales, and accounting teams to ensure accurate billing and documentation.
- Review vendor invoices and verify transportation and carrier charges for accuracy.
- Support continuous improvement initiatives to enhance operational efficiency and customer satisfaction.
Qualifications & Experience
- 2 years of experience in international freight forwarding import operations.
- Strong working knowledge of air and ocean import procedures.
- Experience handling international import shipments from origin through final delivery.
- Knowledge of import documentation, customs clearance processes, Incoterms, and international shipping procedures.
- Experience coordinating with customs brokers and government agencies.
- Familiarity with freight forwarding software such as CargoWise is highly preferred.
- Strong communication and organizational skills with the ability to manage multiple priorities.
