The Fleet Maintenance Coordinator oversees the maintenance and repair of fleet vehicles and equipment to ensure safe, reliable, and efficient operations. This role coordinates preventative maintenance, repairs, and fleet records while helping maximize vehicle availability and minimize downtime.
The ideal candidate will have experience coordinating fleet maintenance activities, managing vendor relationships, tracking maintenance schedules, and supporting operational efficiency while minimizing vehicle downtime.

Key Responsibilities
- Coordinate preventative maintenance schedules for all fleet vehicles and equipment.
- Monitor vehicle inspections, servicing, repairs, and regulatory compliance.
- Schedule maintenance with internal technicians and external repair vendors.
- Track vehicle maintenance history, repair costs, warranties, and service records.
- Ensure compliance with DOT, OSHA, EPA, and company safety requirements.
- Monitor fleet performance and identify opportunities to reduce maintenance costs and improve reliability.
- Review repair estimates and invoices for accuracy and cost-effectiveness.
- Coordinate emergency repairs to minimize operational disruptions.
- Maintain accurate records within fleet management software.
- Assist with vehicle licensing, registrations, inspections, and documentation.
- Monitor inventory levels for maintenance parts and supplies.
- Develop strong working relationships with vendors and negotiate service pricing where appropriate.
- Produce regular reports on fleet performance, maintenance KPIs, vehicle downtime, and operating costs.
- Support fleet replacement planning by providing maintenance and lifecycle data.
- Promote a culture of safety and continuous improvement.
Qualifications
- Prior experience in fleet maintenance coordination, transportation operations, or a related field preferred
- Strong communication and multi-tasking skills; comfortable handling urgent situations calmly
- Familiarity with Transportation Management Systems (TMS) a plus
- Basic knowledge of tractor/trailer mechanics and maintenance terminology preferred
- Proficient in data entry and record-keeping
