Job Overview
We are seeking a detail-oriented and organized Accounting Administrative Assistant to join our team. This role provides essential support to our accounting and administrative departments, ensuring smooth daily operations. The ideal candidate will possess strong office management skills, proficiency in accounting software like QuickBooks, and excellent communication abilities. Bilingual skills are a plus, as well as experience in customer service and clerical tasks. This position offers an opportunity to work in a professional environment where attention to detail and organizational skills are highly valued.

Responsibilities

  • Manage data entry and maintain accurate financial records using QuickBooks and Microsoft Office tools
  • Handle front desk duties, including greeting visitors and managing multi-line phone systems with professional phone etiquette
  • Assist with bookkeeping tasks, including invoicing, billing, and reconciling accounts
  • Support office management activities such as filing, proofreading documents, and organizing files both physically and digitally via Google Workspace
  • Provide exceptional customer service support by responding to inquiries via phone or email and supporting client communications
  • Schedule appointments, manage calendars, and coordinate meetings for team members
  • Perform general administrative tasks such as typing correspondence, managing mail distribution, and maintaining office supplies
  • Support personal assistant duties when required, including calendar management and travel arrangements

Skills

  • Proficiency in QuickBooks, Microsoft Office (Word, Excel, Outlook), and Google Workspace
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Excellent written and verbal communication skills with good phone etiquette
  • Bilingual abilities are preferred to serve diverse client needs effectively
  • Previous office management or clerical experience is highly desirable
  • Experience with data entry, filing systems, proofreading documents, and office software applications
  • Knowledge of medical or dental receptionist duties is a plus but not required
  • Ability to handle customer support tasks professionally while maintaining confidentiality
  • Strong time management skills with the ability to prioritize tasks effectively

This position is ideal for candidates who are detail-oriented, proactive, and eager to contribute to a well-organized office environment.

Job Types: Full-time, Part-time

Pay: From $18.00 per hour

Expected hours: No less than 30 per week
