The Contract Administrator / Legal Coordinator is responsible for managing contracts, legal documentation, and transaction workflows across active construction projects and related business entities. You’ll serve as the internal point person for contract administration, document control, compliance tracking, and deal coordination.
This is a hands-on, detail-intensive role with visibility across the full project lifecycle—from contract execution through closeout.
Key Responsibilities
Contract Administration & Legal Support
- Review, draft, revise, and manage construction-related contracts, including client, subcontractor, vendor, and consultant agreements
- Assist with letters of intent (LOIs), purchase agreements, amendments, extensions, and related transactional documents
- Track key contract dates, obligations, and deliverables to ensure compliance and timely execution
- Conduct basic legal research related to construction contracts, zoning, land use, and regulatory matters
- Support litigation preparation and coordination with outside counsel as needed
- Organize, maintain, and control contract and legal documentation, including amendments, executed agreements, and closing files
- Coordinate with title companies, lenders, and external parties to support closings, refinances, and other transactions
- Prepare and track documents required for closings, resolutions, assignments, and corporate records
- Maintain accurate document management systems and ensure files are complete, accessible, and audit-ready
- Partner with project managers, development leadership, and operations to support active construction projects
- Assist with entitlement, permitting, and municipal documentation coordination
- Track tenant or project-related obligations, including turnover responsibilities and completion status
- Maintain trackers and reporting for contract status, leasing activity, and transaction progress
- Act as a liaison between internal teams and external stakeholders (attorneys, title companies, brokers, vendors)
- Communicate clearly with clients, subcontractors, and consultants regarding contractual requirements and changes
- Provide administrative and reporting support to senior leadership as needed
- Contracts and legal documents are accurate, organized, and executed on time
- Leadership and project teams trust the role as a central point of coordination
- Risks are identified early and escalated appropriately
- Transactions and projects move forward smoothly with minimal friction
- Documentation is clean, consistent, and well-controlled
- Associate’s or Bachelor’s degree in Paralegal Studies, Legal Administration, Construction Management, or related field
- 3–5 years of experience in contract administration or paralegal support, preferably in construction or general contracting
- Strong understanding of construction contracts and legal terminology (AIA experience a plus)
- Excellent organizational skills with the ability to manage multiple active projects
- High attention to detail and strong document control discipline
- Strong written and verbal communication skills
- Proficiency with Microsoft Office; experience with contract or document management systems preferred
- Ability to maintain confidentiality and exercise sound judgment
