SUMMARY

The Development Database Manager supports Opportunity Village by ensuring careful administration, accuracy, and stewardship of the Resource Development (RD) database. This position maintains the integrity and confidentiality of all donor and gift records, oversees gift processing and donor profiles, manages updates to the annual solicitation pipeline, and reconciles gift activity with the Business Office to maintain clear and reliable institutional reporting.

 

Working closely with the Vice President of Philanthropy and the Director of Development, the incumbent provides thoughtful data analysis that helps shape donor engagement, solicitation strategies, and meaningful stewardship efforts. The role also contributes essential data support for key organizational activities—including special events, fundraising campaigns, board reporting, strategic planning, and departmental KPIs—helping ensure that Opportunity Village's mission-driven fundraising efforts are both effective and well-informed.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Report suspected Abuse, Neglect, Exploitation, Isolation, and Abandonment (ANEIA) immediately as mandated by state law.
  2. Oversee the quality, integrity, and accuracy of all donor information and gifts entered into the database (currently Donor Perfect) in consultation with the VP of Philanthropy and the director of Development.
  3. Play a lead role in the strategic management and day-to-day operations of the donor and prospect database; serve as the department point person on queries, reports, actions, list management for mailings and significant events, and data importing and exporting.
  4. Design, test, deploy, run, and analyze reports for the Development team, Board of Directors, and other departments as needed.
  5. Strengthens donor relationships by ensuring accurate and timely processing, recording, and receipting of all gifts, consistently meeting a 48-hour turnaround standard.
  6. Provides support to database end-users through the maintenance of data entry standards and procedures, and conducts training as required to promote consistent, efficient, and compliant system utilization.
  7. Serves as a liaison with the OV Business Office, ensuring timely reconciliation of deposits, ACH (Automated Clearing House transfer) transfers, and online payment systems.
  8. Provides support throughout the budgeting process and facilitates regular financial review meetings to ensure consistent tracking and explanation of monthly variances.
  9. Prepare and issue invoices for the Resource Development and Events teams, ensuring accuracy and timely delivery.
  10. Assist with the efficiency of special events, projects, and mailings.
  11. Serve as the department's data expert, providing guidance and regularly communicating IT-related information to the team.
  12. Work in coordination with team members to meet established deadlines for mailing lists and donor recognition initiatives, ensuring timely and accurate execution.
  13. Utilize fundraising best practices in establishing or revising data fields and standards, safeguarding the reliability and integrity of all reports produced.
  14. Manage the database in support of the goal of donor growth.
  15. Manage the archiving and organization of Resource Development documentation, ensuring proper record-keeping, data integrity, and compliance with institutional standards.
  16. May be assigned other duties as needed.

EDUCATION AND EXPERIENCE

  • Required: Bachelor's degree in Business, Computer Information Systems, or a related field.
  • Required: A minimum of two (2) years' experience with data analytics or data development.
  • Required: A minimum of two (2) years' experience in a donor-centric role in a nonprofit setting.
  • Required: Proficient in Windows-based programs, including Microsoft Office (Word, Excel, Outlook, and PowerPoint).
  • Required: Experience with nonprofit fundraising database software (CRM systems), preferably DonorPerfect, to manage donor records, track contributions, and support resource development activities.
  • Preferred: Experience working with individuals with intellectual disabilities.
