Accounting Specialist
The Accounting Specialist supports project-based accounting and financial operations, with a focus on billing, accounts receivable, job cost tracking, and compliance. This role plays a key part in ensuring accurate financial data, timely invoicing, and consistent processes across project and accounting functions.
Responsibilities
- Prepare and manage invoicing for project-related and customer billing activity, ensuring accuracy and timeliness
- Serve as a point of contact for customer billing questions, pricing inquiries, and tax-related items
- Monitor accounts receivable aging and assist with collections follow-up
- Track and record incoming payments across multiple payment types to ensure proper application
- Review and reconcile job costs, including labor and expense allocations
- Partner with internal teams to investigate and resolve discrepancies
- Code expenses, invoices, and credit card transactions to appropriate jobs and cost categories
- Assist with subcontractor payment processes, including review of pay applications and supporting documentation
- Support payroll-related requirements tied to project work as needed
- Maintain tax-exempt documentation, ensuring accuracy and compliance
- Prepare and track lien waivers and related documentation
- Support regulatory requirements such as licensing, registrations, and renewals
- Assist with prequalification and compliance documentation as needed
- Provide support on ad hoc projects and cross-functional initiatives
- Assist with process improvements and maintaining efficient workflows
Qualifications
- Bachelor’s degree in Accounting required
- 2 years of experience in billing, accounts receivable, or accounting support
- Construction or project-based accounting experience preferred
- Experience with ERP systems; construction-related systems a plus
- Strong Excel skills and ability to manage and reconcile data
- Strong attention to detail and accuracy
- Organized and able to manage multiple priorities
- Proactive and solutions-oriented
- Clear and professional communication skills
- Reliable with a strong sense of ownership
Salary : $65,000 - $70,000
