A Boston-based organization is seeking an experienced Executive Personal Assistant to provide high-level support to a senior executive in a demanding corporate environment. While the position is largely remote, the successful candidate must reside in the Boston area and maintain flexibility for local, in-person support, including meetings, errands, and time-sensitive requests.
This role requires availability beyond standard business hours and a high degree of responsiveness.
Responsibilities
- Provide comprehensive day-to-day support to a senior executive with a complex, ever-changing schedule
- Manage high-volume calendar scheduling across internal stakeholders, clients, and external partners
- Coordinate and prepare for client meetings, including logistics, materials, and follow-up
- Act as a trusted liaison, handling confidential communications with discretion and professionalism
- Monitor and manage inboxes, prioritize communications, and ensure timely responses
- Coordinate domestic and international travel, accommodations, and itineraries
- Anticipate scheduling conflicts and operational needs, proactively offering solutions
- Support local, in-person needs in the Boston area as required
- Maintain organization of documents, contacts, and key information
- Provide real-time support during high-pressure situations and shifting priorities
- Be available outside normal business hours to support urgent matters
Qualifications
- 5 years of experience supporting senior executives in a corporate environment
- Comfortable with and interested in providing personal support to a senior executive
- Demonstrated ability to manage complex calendars with frequent changes
- Experience supporting client-facing executives and coordinating with external stakeholders
- Exceptional organizational, time-management, and prioritization skills
- Strong written and verbal communication skills
- High level of discretion and professionalism with sensitive information
- Comfortable working independently and making sound judgment calls
- Technically proficient with standard business tools (calendar, email, document management platforms)
