My client, an established financial services firm in Boston, is seeking an experienced Executive Assistant to join their administrative team. The ideal candidate will have 5 years of EA experience, ideally in the financial services or similar professional services industry.
This role is 3-4 days onsite (occasionally 5) in Boston.

Key Responsibilities
- Calendar Management & Meeting Coordination: Oversee all aspects of meeting coordination (scheduling, logistics, communication, preparation for various meeting types) and proactively manage the teams’ calendar, resolving conflicts through collaboration with other assistants.
- Financial Administration: Process and code invoices/expenses, maintain financial records, and assist with managing team travel/expense budgets
- Document & Communication Management: Prepare high-quality documents (presentations, minutes, agendas), proactively manage and organize sensitive business documents (contracts, reports, correspondence) with accuracy and confidentiality. Act as the main point of contact for internal and external stakeholders.
- Team Engagement Support: Assist with logistical planning and support for team events (all-hands meetings, celebrations), including bookings, agendas, and budget oversight.
- Cross-Functional Collaboration & Project Participation: Build and maintain strong working relationships across departments and manage or contribute to special projects to support business goals.
- Confidentiality: Handle sensitive information with utmost confidentiality and discretion.
Requirements:
- 5 years of experience as an Executive Assistant in a financial services or similar professional services setting
- BA/BS Degree preferred
- Outstanding organizational skills and strong attention to detail
- Exceptional communication skills, both written and verbal
- Ability to manage and prioritize multiple projects effectively
- Proactive and resilient in handling pressure, managing strict deadlines, and adapting to rapidly changing environments
