We are seeking a highly organized and experienced Senior Construction Administrative Assistant to support complex construction projects and provide high-level administrative coordination for project management and operations teams in Linden, NJ. This individual will play a critical role in maintaining project documentation, coordinating operational processes, tracking schedules and project deliverables, and ensuring administrative workflows remain accurate and efficient.
The ideal candidate will have prior experience supporting large or multiple active construction projects and be comfortable operating independently within a deadline-driven environment.
Responsibilities- Provide high-level administrative and operational support to project managers and operations leadership
- Manage and maintain project documentation including contracts, RFIs, submittals, permits, compliance records, and change orders
- Coordinate project schedules, meetings, inspections, and project milestone tracking
- Prepare project reports, status updates, tracking logs, and operational documentation
- Support budgeting functions including invoice processing, vendor tracking, and project cost documentation
- Communicate directly with clients, subcontractors, vendors, suppliers, and field personnel regarding project timelines and documentation
- Ensure project files remain organized, complete, and audit-ready
- Assist with subcontractor onboarding and compliance documentation collection
- Monitor project deadlines and proactively assist with administrative follow-up tasks
- Support multiple large or active projects simultaneously while maintaining accuracy and urgency
- Assist leadership with operational reporting and administrative process improvements
- 3 years of construction administrative support, project coordination, or project support experience
- Strong understanding of construction project lifecycle, documentation management, and operational coordination
- Experience managing RFIs, submittals, change orders, permits, and compliance documentation
- Advanced proficiency with Microsoft Office Suite, especially Excel
- Experience with construction management software such as Procore, CMiC, Viewpoint, or similar platforms preferred
- Strong communication, organizational, and problem-solving skills
- Ability to work independently and prioritize within a fast-paced environment
- Professional communication skills with strong attention to detail
- Commercial, industrial, infrastructure, or large-scale construction project support experience
- Experience supporting multiple project managers or large project portfolios
- Experience with budgeting support, operational reporting, or project tracking analytics
- Pay range: $23–$25/hour depending on experience
- 6-month contract assignment
