Team members work closely with project managers, subcontractors, and field teams while developing valuable experience supporting project coordination, operational tracking, and construction documentation processes.
Position OverviewWe are seeking an experienced Project Administrative Assistant to support project coordination and administrative operations for an active construction team. This position will assist with project documentation, scheduling coordination, vendor communication, operational reporting, and administrative support functions across multiple active projects.
The ideal candidate will have prior experience supporting construction, project management, or operations teams within deadline-driven environments.
Responsibilities- Support project managers with daily operational and administrative functions
- Manage project documentation including permits, RFIs, submittals, and change orders
- Coordinate project schedules, meetings, inspections, and updates
- Maintain project tracking logs, spreadsheets, and reporting documentation
- Process invoices, purchase orders, and vendor documentation
- Communicate with subcontractors, vendors, suppliers, and field teams regarding scheduling and paperwork
- Assist with compliance tracking and insurance documentation
- Maintain organized project files and operational records
- Prepare meeting notes, reports, and project updates
- Support multiple projects simultaneously while maintaining accuracy and deadlines
- 2 years of construction administrative assistant, project support, or coordinator experience
- Strong understanding of project documentation and operational workflows
- Experience handling RFIs, permits, submittals, and project tracking preferred
- Strong Microsoft Office skills including Excel and Outlook
- Excellent organizational and communication abilities
- Ability to multitask and prioritize within a fast-paced environment
- Pay range: $21–$23/hour depending on experience
- Full-time 6-month contract assignment
- Potential for extension based on project demands and performance
