Job Summary
The Recruiting Coordinator plays a critical role in supporting the end-to-end recruiting process by delivering a seamless, organized, and positive experience for candidates. This position partners closely with recruiters and hiring managers to manage interview logistics, maintain accurate data, and ensure efficient coordination across all stages of hiring.
Responsibilities
- Coordinate and schedule interviews across multiple time zones, managing complex calendars for candidates and interview teams
- Serve as the primary point of contact for candidates, providing timely updates and clear communication throughout the hiring process
- Support recruiters and hiring managers by anticipating and resolving scheduling or process challenges
- Maintain and update candidate records in the applicant tracking system (ATS) and CRM (e.g., Eightfold), ensuring data accuracy and integrity
- Format job descriptions and post roles to LinkedIn and other job boards
- Manage interview logistics, including preparing agendas, coordinating virtual or onsite interviews, and arranging candidate travel as needed
- Oversee background check processes and ensure timely completion
- Handle sensitive and confidential candidate information with discretion
- Gather candidate feedback and contribute to continuous improvement of recruiting processes
- Assist with recruiting projects, events, and initiatives that enhance candidate experience and employer branding
Qualifications
- Bachelor’s degree & 1–3 years of experience in recruiting coordination, HR, or administrative support, preferably in a fast-paced environment
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Proficiency with scheduling tools, ATS platforms, CRM systems, and virtual meeting tools (e.g., Zoom, Microsoft Teams)
- Detail-oriented with strong data management and problem-solving abilities
