A prominent financial services firm is seeking an Executive Assistant to join their team. This position is offering a salary range of 125k-150k depending on experience and also offers a comprehensive benefits package is offered including but not limited to medical and dental insurance as well as generous PTO.
Key Responsibilities of the Executive Assistant:
• Manage complex and ever-changing calendars for senior executives, including coordinating internal and external meetings across multiple time zones
• Coordinate extensive domestic and international travel, including detailed itineraries and last-minute changes
• Prepare materials for meetings, including investor presentations, reports, and board-related documentation
• Serve as a key point of contact for internal teams, investors, and external stakeholders, maintaining a high level of professionalism
• Manage and prioritize executive inboxes, including drafting and responding to correspondence on behalf of leadership
• Support deal flow and transaction processes by assisting with scheduling, document coordination, and follow-ups
• Plan and coordinate team events, investor meetings, and offsites
• Handle expense reporting and ensure timely and accurate submission
Anticipate executive needs and proactively address scheduling conflicts and priorities
Qualifications of the Executive Assistant:
• 5 years of experience supporting senior executives, preferably within finance, or professional services
• Strong interpersonal skills with an engaging, confident personality and the ability to build relationships across all levels
• Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment
• High level of discretion and professionalism when handling sensitive and confidential information
• Excellent written and verbal communication skills
• Strong attention to detail with a proactive and solutions-oriented mindset
• Proficiency in Microsoft Office and calendar management tools
• Ability to work both independently and collaboratively within a team-oriented environment
