Title Clerk
The Title Clerk supports the accurate and timely processing of motor vehicle titles and registrations across the automotive network. This position ensures all state and dealership requirements are met, maintains strict document accuracy, and provides consistent support to sales, finance, and inventory teams. The role requires strong attention to detail, excellent follow through, and the ability to manage a high volume of transactions. This position is temp to hire and will pay between $21 and $23/hr. depending on experience.
Responsibilities
- Process in state and out of state titles and registrations for retail, lease, wholesale, and trade transactions.
- Review deal jackets for completeness, accuracy, and required documentation, including POAs, odometer disclosures, tax and fee calculations, and lienholder information.
- Submit title work to DMVs or electronic registration systems and track progress until completion.
- Resolve title discrepancies, returned transactions, or missing documentation with sales, F&I managers, customers, lenders, and DMV personnel.
- Manage trade in title follow ups, including prior lien releases, missing titles, and payoff verification.
- Prepare title reassignment paperwork for wholesale and auction deals.
- Coordinate lien perfection and release processes; ensure proper recording of lienholder information.
- Maintain and reconcile title inventory; track title movement between locations and support periodic audits.
- Handle out of state title packets, ensuring required inspections, notarizations, and local documentation are included.
- Post and reconcile title fees and other related charges with the accounting office.
- Keep updated on state regulations, titling procedures, and internal process changes.
- Provide status updates to internal teams and respond promptly to customer inquiries.
- Support month end and year end tasks related to titling and recordkeeping.
Qualifications
- Previous automotive titling or DMV experience preferred.
- Familiarity with dealership DMS and titling systems (e.g., CDK, Reynolds & Reynolds, CVR, Vitu, Dealertrack RegUSA).
- Strong organizational skills and accuracy when handling high-volume paperwork.
- Ability to meet deadlines while managing multiple priorities.
- Professional communication skills when working with internal teams, customers, lenders, and state agencies.
- Knowledge of tax, fee, and documentation requirements for multiple states is a plus.
- Notary certification or ability to obtain one, if required.
